Facilities Assistant Manager - Binghamton, NY
JOB SUMMARY
The Facilities Assistant Manager facilitates all rules and regulations associated with the cleaning and disinfecting of all programs are maintained daily. Ensures all work orders, regular maintenance and safety and security of all buildings are adhered to in a timely matter. Ensuring Volunteers of America of Upstate New York’s philosophy and practices are carried out in all areas. The Facilities Assistant Manager is also responsible for all facility & janitorial staff in the Binghamton location.
ESSENTIAL JOB FUNCTIONS:
- Provides scheduling supervision for facility/janitorial staff, including creating schedules, and approving timesheets and time off requests
- Coordinate and substitute emergency staffing coverage as needed
- Responsible for the tracking and completion of all work orders in Spice Works
- Complete preventative maintenance as assigned and prioritize work orders
- May be responsible for occasional building inspections
- Work closely with venders to ensure all work completed and is done correctly
- Maintains positive communication with venders
- Responsible for all agency tools and vehicles
- Light landscaping, painting, electrical, plumbing, carpentry, and snow removal
- Manages reports per regulations and agency policies such as incident reports, fire drills, cleaning logs, contact logs etc., dependent upon the location and shift
- Collects and scans all COVID related documents into S drive
- Ensures safe practices and cleanliness of all programs as per regulatory requirements
- Ensures that staff adhere to all cleaning and disinfecting program practices
- Ensures an updated Safety Data Sheet (SDS) binder is maintained for all programs
- Takes lead in monitoring supplies and inventory for programs. Works with Facilities Manager to ensure proper levels of supplies and adherence to agency budget
- Reports any issues or concerns to supervisor in accordance with divisional guidelines
- Assists with the training and development of facility/janitorial staff and onboarding and orientation
- Provides coaching and mentoring to staff on a regular basis
- Responsible for on call duties and occasional weekend work
- Other duties as directed by supervisor
EDUCATION & QUALIFICATION REQUIREMENTS:
- One year of facilities manager experience
- Strong computer skills with the ability to work with Word, Excel, and Outlook
- Strong interpersonal communication skills
- Ability to pass a federal background check
- Knowledge of cleaning chemicals and SDS regulations
- A valid NYS driver’s license
