Expeditor and Office Manager for a Boutique Interior Design Firm

Our parent company, Rethink Studio, seeks a highly organized, polished, proactive team member to manage all client, office, and proprietary product purchase orders. Must enjoy working in a creative environment, but not in a creative capacity. Responsible for sourcing, ordering, tracking, and managing all studio-related orders. Responsible for organizing and maintaining materials library and vendor lists. Interest in design and small business is a plus. Must have excellent work ethic, problem-solving skills, positive attitude, and superb communication skills. This role is the left-brain center hub in a Type-A, right-brained creative office.

RESPONSIBILITIES

Expediting

  • Manage all purchasing and goods procurement for all our design clients using our project management and accounting platform, Studio Designer.
  • Update Studio Designer with requirements, specifications, and delivery information.
  • Confirm with vendors that orders are correct and confirm expected delivery dates.
  • Work with the Finance team on updating payment schedules, priorities, and
  • requests. Audit and match invoices and investigate pricing discrepancies.
  • Coordinate shipping, deliveries, and installations.
  • Ensure product arrives on time as acknowledged on POs.
  • Update open order delivery status weekly to inform the design team of the fulfillment status against the installation schedule's backdrop.
  • React and problem-solve customer/vendor calls regarding issues with production, delivery, and other questions.
  • Handle correspondence regarding damages, replacements, returns, and donations of products, as necessary.
  • Work with the vendors, logistics companies, and warehouse team to coordinate all deliveries and pick-ups and verify that the product is readily available and received.
  • Keep the office functional (answer phones, receive packages, organize samples, and general upkeep, etc.)
  • Coordinate and organize client installations with the design team.
  • Assist with design projects as necessary, i.e., measurements, deliveries, and clients.
  • appointments, etc.
  • Assist in preparing Studio Designer reports.

Design Support

  • Run errands: pick up/drop off samples, pick up/deliver orders, pick up items at the store, go to the warehouse, etc.
  • Manage material samples and update the studio library.
  • Coordinate fabrics received in-house with the workroom or upholsterer.
  • Review all vendor acknowledgments and invoices for accuracy.

Office Management

  • Track employee PTO.
  • Manage employee personnel files.
  • Perform onboarding and off-boarding of Team Members with owners.
  • Provide general record-keeping/filing.
  • Set up conference area for meetings, vacuum, water, food, etc.
  • Order office, cleaning, and paper supplies for the studio.
  • Receive mail and distribute.
  • Water office plants.
  • Coordinate general office maintenance: maids, pest control, etc.
  • Take out the trash at the end of the day.

JOB REQUIREMENTS

  • Candidate must be efficient, detail-oriented, diligent, and able to manage a high volume of special orders.
  • Three plus (3+) years of relevant Expediting, Fulfillment, and Office Management experience.
  • Proficient computer skills are required. Studio Designer experience is preferred.
  • Furniture, retail, or interior design experience is a plus!

Available shifts and compensation: Available shifts all days except Sundays and Saturdays. Compensation is $20.00 - $26.00/hour.
