Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Executive Secretary. As an Executive Secretary, you will provide administrative support to our Superintendent of Schools and ensure the smooth operation of our office. This is a crucial role that requires excellent organizational skills, computer literacy, and the ability to handle multiple tasks simultaneously.
Duties:
- Supervise and coordinate the efficient workflow of the school system relative to the responsibilities of the Superintendent.
- Performs all secretarial and confidential work as assigned by the Superintendent.
- Supervises and assists in the preparation of all correspondence and reports emanating from the Superintendent's office as well as processing incoming correspondence.
- Maintains a regular electronic filing system, manages phone calls, and schedules of appointments.
- Acts as a liaison between the Superintendent and administrative staff.
- Assists the Superintendent in compiling data and preparing required reports.
- Compiles and organizes Board agendas.
- Greet visitors and provide them with a professional and welcoming experience.
- Assist with event planning and coordination for company meetings or special events.
- Handle sensitive and confidential information with discretion.
Qualifications:
- Proven experience in office management or administrative roles
- Proficient computer skills
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in all work tasks
- Ability to maintain confidentiality of sensitive information
- Bilingual Spanish/English is a plus
