Our founder, a renowned surgeon, is seeking a highly organized and sharp Executive Personal Assistant to manage various personal and business tasks. The ideal candidate will be proactive, detail-oriented, and able to navigate a fast-paced environment with efficiency.
Position Overview: As the Executive Personal Assistant to the physician owner of our practice, you will play a pivotal role in ensuring the smooth operation of both professional and personal aspects of their life. This position requires a high level of confidentiality, exceptional organizational skills, and the ability to anticipate and address the needs of a busy surgeon.
Responsibilities:
- Manage the physician's business and personal calendar, coordinating appointments, meetings, and events.
- Arrange travel logistics, including booking flights, accommodations, and ground transportation for both business and personal trips.
- Screen and prioritize emails and phone calls, ensuring efficient communication and timely responses.
- Handle personal tasks such as dry cleaning, mail pickup, and other errands as needed.
- Maintain confidentiality in all matters and adhere to a strict nondisclosure agreement.
- Assist with additional tasks and projects as assigned by the physician.
Qualifications:
- Proven experience as an Executive Personal Assistant or similar role.
- Exceptional organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in time management and the ability to prioritize tasks effectively.
- Discretion and the ability to handle sensitive information with confidentiality.
- High level of flexibility to accommodate a dynamic schedule.
- Valid driver's license and a clean driving record.
Additional Requirements:
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with travel and calendar management tools.
- Professionalism: Impeccable professional appearance and demeanor, reflecting the high standards of the medical practice.
- Problem-solving: Ability to think on your feet, address unexpected challenges, and find effective solutions.
- Availability: Willingness to work outside of standard business hours when necessary and be on-call for urgent matters.
- Team Collaboration: Ability to collaborate with other administrative staff and healthcare professionals to ensure seamless coordination
