POSITION GENERAL SUMMARY:
The Executive Director position for Port Orange Family Days involves leading and overseeing the organizations overall operations and strategic direction. Responsibilities typically include coordinating and managing community events, developing, and implementing event strategies, liaising with sponsors and stakeholders, overseeing budgets, and ensuring the successful execution of Family Days activities.
The Executive Director is often tasked with fostering community engagement, promoting the organizatios mission, and maintaining positive relationships with volunteers and participants.
Additionally, the role will involve fundraising efforts, marketing initiatives, and collaborating with local authorities to ensure compliance with relevant regulations. Strong leadership, organizational, and communication skills are essential for success in this position.
ESSENTIAL POSITION FUNCTIONS:
Strong dedication to the mission and vision of Port Orange Family Days (POCT).
Demonstrated excellence in organizational management, including the ability to coach chairs and volunteers, lead high-performance teams, set and achieve strategic objectives, and effectively manage budgets.
Proven experience working with a Board of Directors, with the ability to nurture existing relationships with board members.
Knowledge of nonprofit compliance requirements.
Robust background in marketing, public relations, and fundraising, with the ability to engage a diverse range of community stakeholders.
Proficiency in managing various social media platforms, digital and print advertising.
Ensure fulfillment of Annual Sponsor benefits.
Content writing for quarterly newsletters, social media, and website.
Exceptional written and verbal communication skills, coupled with persuasive and passionate communication abilities.
Action-oriented, entrepreneurial, adaptable, and innovative approach to business planning.
Ability to collaborate effectively with diverse groups of people.
Demonstrated passion, idealism, integrity, positive attitude, mission-driven mindset, and self-directed work style.
Experience in applying for grant funding from corporate, foundations, and nonprofits, ensuring compliance with guidelines and timely submissions.
Oversight of large-scale, multi-day event planning, including sponsor acquisition, vendor signups, licensing, advertising, marketing, rental agreements, logistics, carnival coordination, and satisfaction of sponsor benefits.
Effective multitasking across numerous simultaneous events while managing day-to-day operations.
Maintenance of event equipment, office, and shed, including supply and equipment procurement.
Continuous commitment to local programmatic excellence, rigorous program evaluation, and maintaining quality in finance and administration, fundraising, communications, and systems.
Proactive engagement with POCT Nonprofit volunteers, board members, event committees, alumni, partnering organizations, and funders.
Development, maintenance, and support of a strong Board of Directors, including serving as an ex-officio member of each committee.
Implementation of effective systems to track scaling progress and regular evaluation of program components.
Creation of new income streams at events and identification of additional opportunities for passive income.
Cultivation of relationships with the City of Port Orange City Council, City Manager, and collaboration with City of Port Orange Parks and Rec and City Services.
Oversight of Scholarship application disbursement and coordination of Request for support presentations.
Expansion of local revenue-generating and fundraising activities to support existing giving initiatives.
Enhancement and refinement of all communication aspects, from web presence to external relations, with the goal of building a stronger brand.
Utilization of external presence and relationships to explore new opportunities.
Management of accounts receivable and payable, invoicing, and proficiency in QuickBooks with the ability to run reports.
Preparation of documents for 990s.
Close collaboration with the accountant.
Willingness to undertake any other duties assigned by the Executive Board of Directors.
MINIMUM REQUIREMENTS:
Experience:
A minimum of five years of experience working with customer service, promotions, community relations, fundraising and/or non-profits.
Knowledge, abilities and skills:
Strong interpersonal and motivational skills
Strong verbal and written communication and presentation skills
Knowledge of Port Orange Community Trust Events
Knowledge of all state rules, laws, policies, and procedures applicable to Non-Profits
Proficiency in organization, prioritization and planning; ability to meet aggressive deadlines
Ability to employ innovative problem-solving techniques to accomplish objectives
Ability to work with and through people to establish goals, objectives, and action plans
Experience working with Word, Excel, Powerpoint
Experience with the following a plus:Canva, Givelively, Constant Contact, Paypal, Square POS, Social Media Platforms.
