Hospitality SaaS startup is looking for two Executive Assistants to support their Co-Founders. This is a great opportunity to join a fast-growing team of 150 who just raised their Series C. You will provide leverage by managing busy calendars, aligning schedules with priorities, inbox management, coordinating travel, meeting prep, and light personal support as needed. Someone extremely proactive, has superb prioritization skills, and strong communication who can bring a framework to the role. This is a hybrid role based in New York, 3-4 days/week in-office. 130-150K+ DOE + equity, benefits, 401k, and unlimited PTO.
Responsibilities:- Provide scheduling assistance to the Executive. Efficiently manage and coordinate calendars, and organize and rearrange meetings as necessary.
- Prioritize conflicting needs for the Executive. Proactively anticipate needs, handle matters, and follow through to completion.
- Assist with inbox management. Flag priority messages, stay on top of communications and liaise with other Executives, internal teams, and external stakeholders to streamline scheduling and communications.
- Plan and coordinate travel arrangements, accommodations, and transportation.
- Manage and process expense reports.
- Assist Executive with recruiting activities, such as preparing notes, scheduling, and recording feedback.
- Help with team scheduling & event planning. Coordinate team meetings, offsites, and events, ensuring all logistics are handled and team members are informed.
- Assist in the preparation and organization of team-building events or departmental functions.
- Collaborate with other departments or teams as necessary.
- Provide light personal assistant support such as coordinating personal appointments.
Qualifications:- Previous 3+ years of experience as an Executive Assistant or similar role, preferably in a startup environment.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- In-depth understanding of the complexities of scheduling.
- Proficient with office software, scheduling tools, and communication platforms.
- Excellent verbal and written communication skills.
- Ability to maintain discretion and confidentiality in all matters.
- High attention to detail and problem-solving skills.
- Bachelor's degree or equivalent experience preferred.
