Roles & Responsibilities:
- Executive Assistant to the CEO - 65%
- Calendar Management: Maintain complex calendars through proactive and organized coordination of CEO's schedule across time zones.
- Expense Management: Oversee expense reporting and reimbursement processes for the CEO and liaise with the accounting department for invoice processing.
- Company PR: Responsible for award submissions, press initiatives, and public relations activities to enhance the Company's profile.
- Document Preparation and Management: Handle the creation and editing of various documents, including reports, memos, and presentations at the direction of the CEO
- Research and Analysis: Strong research skills are essential for conducting thorough research projects and compiling data for executive review and presentation.
- Social Media Management: Support CEO social media accounts
- Expense Management: Oversee expense reporting and reimbursement processes for the CEO and liaise with the accounting department for invoice processing.
- Office Manager - 35%
- Facility Management: Manage office space and facilities, parking, security, general maintenance and supplies inventory.
- Travel Arrangements for the Company: At the request of the executive team - support travel bookings, including flights and accommodations, and handle any necessary changes or cancellations.
- Team: Coordinate monthly team lunches and Company annual meeting; support parking needs for the team; support facilities set-up for new hires; coordinate all in-office meetings with external partners.
Skills / Requirements:
- Minimum of 2 years of experience in an executive support role.
- Exceptional organizational skills and meticulous attention to detail.
- Strong communication abilities, with proficiency in writing clear emails and reports.
- Unwavering reliability in handling confidential information.
- Computer proficiency, particularly with Microsoft Office and Google Workspace.
- Ability to remain composed and adaptable in unforeseen situations and shifting priorities.
- Graphic Design (Preferred)
- Education: Associate (Preferred)
Job Type: Full-time
Pay: $25.00 per hour
