Job Details:
Mercer University is searching for an Executive Assistant for the Associate Vice President for Events and Special Programs on the Macon, Georgia campus.
Responsibilities:
This position will assist the Associate Vice President for Events and Special Programs and provide ongoing support for events sponsored by the Office of the Provost. The Executive Assistant will also work some with the Vice Provosts and Director of National and International Fellowships and Scholoarships. Office support, budget management, and event coordination are necessary skills. Graphic design skills are a plus.
Duties include:
- Manage duties associated with University Commencement, Fall Convocation, Honors Convocation, and Faculty Awards Ceremony
- Manage multiple budgets and funding sources
- Correspond with program participants, award nominees and recipients, students, faculty, staff, and off-campus constituents
- Work with on-campus departments and off-campus businesses to order/pick-up/arrange delivery of awards, room décor, food, etc.
- Compile/prepare information, presentations, marketing materials, and website updates
- Create and maintain archival system for annual events
- Coordinate meetings, workshops, and possibly travel arrangements
- Routinely work with team of Executive Assistants in Provost's Office
- Other duties as assigned
Qualifications:
A bachelor's degree from an accredited college/university and one year of prior administrative support experience is required. In lieu of education, equivalent directly relevant experience will be considered. Candidates should know how to use Word for document preparation; Excel to maintain budget, research and development of expense reports; and Outlook to manage office calendars; must have the ability to learn WorkDay budget system and other Mercer-specific IT.
