P.A.C.E. Strategies: Executive Assistant to the Co-Founders

About PACE:

We develop a unique advocacy strategy for each partnership, including communications, creative, digital, data & research, community organizing, digital organizing, event management, and coalition building. Since our founding in 2018, PACE has worked with 80 local partners in more than 20 cities across the country to create change.
PACE operates via a partnership with 50-State Campaign for Achievement Now (50CAN), a nonprofit organization that works locally to advocate for a high-quality education for all kids regardless of their address. 50CAN supports PACE as a fiscal sponsor.
About the Role:
The Executive Assistant will be responsible for focusing flexibly and responsively to address day-to-day and longer-term needs that aim to sustain the efforts of the Co-Founders and larger team. To maximize their productivity and efficiency, the Executive Assistant will create, revise, and maintain systems and assist with projects owned by the Co-Founders. The Executive Assistant will also support the larger PACE team administratively and will report to PACE’s Director of People & Operations.
Key Responsibilities
Specific responsibilities of the Executive Assistant will include (but will not be limited to):
- Maximizing the effectiveness of PACE’s Co-Founders and larger team by managing calendars while effectively representing the PACE team to various stakeholders over email, remotely and in-person, as needed;
- In collaboration with other PACE staff, building accurate and prioritized systems of Co-Founder action items;
- Arranging & managing logistics for Co-Founder travel to conferences, meetings, team meetings, stepbacks, and other events;
- Drafting emails, memos, and other communication for Co-Founders;
- Preparing and managing expense reports and reimbursements for the PACE team;
- Serve as PACE’s remote office manager by creating and maintaining all of PACE’s technological and other shared resources.
Qualities and Characteristics
Candidates should enjoy working in a dynamic, results-oriented environment with high expectations for both the quality and speed of work. In addition, they should have the following:
Minimum Requirements:
- Bachelor's Degree with at least 2-3 years of professional experience in executive assistance, project management, or related fields;
- Experience with Google and Microsoft Office Suites, Canva, and knowledge of AI tools;
- Experience with organizing, planning, and executing team projects and/or events;
- Excellent written and other communication skills and strong attention to detail;
- Ability to prioritize, multi-task, and follow through in a demanding, strategic, fast-paced environment;
- Ability to ask questions and address feedback promptly;
- Enjoys working behind the scenes with a scrappiness and readiness to roll up your sleeves and be a team player - no task is too small;
- Passion for social justice and dedication to PACE’s mission of ensuring every child has access to a great public school.
Preferred
- Experience in an education policy or other issue advocacy environment;
- Professional background with nonprofits and/or startups is a plus;
- Fluency in Spanish, both oral and written.
