Description: A private nonprofit organization founded in 1973, Philadelphia Corporation for Aging (PCA) is a large agency that is part of the Area Agency on Aging (AAA) nationwide network. Founded as a result of the federal Older Americans Act, the AAAs are mandated to facilitate the area-wide development and implementation of a comprehensive, coordinated system for providing long-term care in home and community-based settings, in a manner responsive to the needs and preferences of older individuals and their family caregivers. PCA carries out this mission through advocacy, stewardship of public funding, planning, development and administration of programs, and service coordination.

The mission of PCA is to improve the quality of life for older Philadelphians and those with disabilities and assist them in achieving the greatest possible levels of health, independence, and productivity. Description of Role: Provides high-level administrative support to the CEO, Board of Directors and other senior level staff. Serves as the Office Manager, supervising administrative staff in the office, collaborates with facility manager regarding the needs of the executive suite and other relevant office services operations within the purview of this position.

Required Education: Bachelor's degree in business administration/Management or related discipline required. or Executive Assistant Certification and a combination of education, training and experience will be considered in lieu of degree requirement. Job Responsibilities: Provide support to the President and CEO to help ensure effectiveness and goal-achievement.

Manage day to day logistics of the President and CEOs schedule, including travel and billing arrangements, handling correspondence and serving as point of contact for all external stakeholders. Interact with staff, subcontractors, consumers, vendors, or public officials in conjunction with Executive Office staff responsibilities. Provide support to the Board of Directors; accurately transcribe board proceedings and other meetings as needed.

Prepare reports, presentations, agendas, and other materials for the President and CEO as necessary. Serve as liaison with facility operations director to promote effective two-way communications and maintain consistency regarding agency operations. Assure us that the agency is appropriately maintained, and agency needs are addressed.

Coordinate projects with facilities management and plan for executive suite meeting space needs. C-Suite Management Manage reception area and staff and interact with the Information Technology department regarding technology needs to ensure efficient and effective operations. Leads mailroom operations and staff, including analyzing needs and negotiating for purchase of equipment.

Maintain agency postage account, business reply mail account and keep agency current with postage rates and regulations. Work with facility operations director to ensure that PCA office space is well maintained, repairs are completed promptly, and staff requests for assistance are addressed within required timeframes. Complete building inspection on a regular basis.

Develop and implement procedures for delivery of maintenance services. Monitor performance of janitorial service to ensure a clean work environment and make recommendations for corrective actions as needed. Other duties as may be assigned by the President and CEO.

Requirements: · Must be able to negotiate and secure the procurement of large office equipment, supplies and furnishings. · Project management and identifying and monitoring key performance indicators to promote successful achievement. · Leading and supervising support staff.

· Ability to manage workload both independently and with a group. · Ability to analyze issues and problem solve. · Effective oral and written communication skills.
