About This Role:
We’re seeking an experienced high-level administrative assistant and quick-starter to support the CEO/Founder who runs two fast-growing, mission-driven companies. As an active visionary, the CEO has a lot of projects while also working as a doctor. She needs a self-starter to take initiative and help keep everything all on track or get it done. She’s looking for her right hand to help her stay in her visionary zone across her professional and personal lives. This critical role works in partnership with the Practice Administrator to be the:
- Gate-keeper
- Anticipate needs
- Eyes & ears of the businesses
- Personal assistant
- Task-master
- Problem-solver
Key Responsibilities:
Time and Calendar Management: Keeping my calendar safe - meaning lock it down after so many meetings. Tell or remind me where to be. Protecting me from overbooking.
Organization: Help organize, sort through the piles, file things (digitally and physically), and recall where they are two days later.
Scribe and Note Taking: After meetings, provide recap, help with follow up with employees or vendors.
Communication: Act as a primary point of contact for internal and external communication on CEO's behalf. You will be responsible for working emails three times per day , organize and answer appropriately using the STACK method.
Travel Management: Schedule and manage Personal and professional travel.
Team Support: Collaborating with and assisting team members to ensure projects are completed.
Project Support: Help with various projects, initiatives and tasks. This may include research, document preparation and other administrative tasks.
Occasional Errands: Running various local errands, including but not limited to; pet assistance, returning items and picking up presents.
All all administrative tasks as assigned.
Qualities for Success:
- Excellent computer skills
- Experience with Last Pass, Google Suite, Asana, and Slack.
- Strong communication skills–especially writing skills and active listening skills
- Ability to multitask
- Meticulous attention to detail and organized
- Able to work in a fast-paced environment
- Professional appearance and demeanor
- Must be positive, happy, motivated, outgoing, and enjoy working on a team
- Must read in between the lines and ask questions
- Able to work independently but not afraid to ask for help

Expected Hours:
- Monday through Friday, 8:00 am - 4:00 pm

Job Type: Full-time
Pay: $20.72 - $24.96 per hour
Expected hours: 35 per week
