POSITION SUMMARY
The Executive Assistant provides administrative support in a variety of functions to the senior executives, focused on support of and increasing the efficiency of the executives. Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the President for consideration.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Coordinate the Senior Executives’ schedules, appointments, reservations and travel arrangements.
- Prepare and edit correspondence, communications, presentations, note taking and other documents.
- Organize and schedule meetings involving internal and external senior executives.
- Prepare all expenses and submit expense reports.
- Plan, organize and coordinate functions and special events for the President’s clients, vendors.
- Organizes Governing Committee meetings.
- Prepare internal and external corporate documents for team members and industry partners.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Formats, and files basic legal documents.
- Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review.
- Assist and support other departments as needed.
- Maintain an organized filling system of paper and electronic documents.
- Uphold a strict level of confidentiality.
EDUCATION AND EXPERIENCE
- College degree and prior relevant experience preferred.
- 2 years’ experience as an Executive Assistant or equivalent work experience required.
- 2 years’ experience working in a law firm preferred.
- Excellent oral and written communication skills.
- Demonstrated experience with MS-Office (Word, Excel and PowerPoint) is required.
- Excellent time-management and organizational skills.
- Ability to learn and utilize new and unfamiliar software and technology.
- Proven critical thinking and problem solving skills.
