Job description

Creative and dynamic Executive Assistant needed for a top-ranking Real Estate Team at Berkshire Hathaway in Pacific Palisades, CA. Your role is to clear the ground to keep the team focused on selling Real Estate and less on operational and administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond to help bring the team to the next level.

The ideal candidate will possess a background in Real Estate. The candidate should be flexible and have a proven track record of creating and implementing systems and procedures in a hybrid and active office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.

Job Responsibilities include the following but are not limited to:

  • Organizing/Managing day-to-day office operations including ongoing Real Estate transactions
  • Writing up offers and addendums and checking compliance to standards.

· Monitor daily emails and manage day-to-day office operations

· Manage CRM

· Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans

· Screening and directing phone calls; distributing correspondence o Producing reports, presentations, briefs

· Drafting all listing presentations and comps for meetings with potential sellers

· Monthly market reports for Pacific Palisades, Brentwood, and Santa Monica distributed as reels on Instagram

· Content for social media is also used blog post content o Input client information into the client database system, track transaction activities and submit each necessary document to the office broker for file compliance

· Responsible for coordination of file with (transaction coordinator) and (office administrator)

· Social Media:

o At least 15 posts per month

o At least one story per day

o At least 2 reels per week

o Comment on 5 accounts per day (ex. A public influencer post at porta via you say, “I love the vibe there!”)

o Pinterest board created and added to weekly; explore advertising options on Pinterest

o Facebook page updated; join local groups and engage in discussions.

o Prepare content ideas for YouTube; write scripts and produce YouTube videos

o Same as above for TikTok

· Lead coordination with Web Team, includes ensuring monthly meeting schedule is adhered to and carry out listing campaigns.

· Light bookkeeping with QuickBooks

· Use my QuickBooks app to track all expenses o Working with professional vendors and attend inspections as needed o Facilitate all event planning logistics, including invitations, cleanup, etc.

· Coordinate and schedule team events, activities, & timelines

· To include gifting timelines (annual gift plus closing gifts and one year anniversary gifts)

· Oversee development projects social media prior to sale (highlight on O’Connor

· Estates Instagram) o Must be comfortable with calling clients and providing excellent customer service

EXPECTATIONS:

· Monday weekly goals email

· Friday follow up with tasks accomplished

· Frequent updating of daily calendar to keep us on track

· Complete availability between the hours of 10am-6pm on weekdays

· Prioritize growing the business

QUALIFICATIONS:

· Real estate license in CA or working towards it

· Strong attention to detail

· Outstanding organizational skills

· Able to multitask and prioritize daily workload

· Able to work independently to support a team and appropriately manage time

· Excellent verbal and written communication skills

· Strong problem-solving abilities

· Discretion and confidentiality

· Customer service focus

· College degree and social media experience preferred

· Comfortable handling strong personalities

· This person must have a background in creating, managing, and building internal office and procedure systems

Job Type: Full-time

Pay: $65,000.00 - $85,000.00 per year

Schedule:

  • 8 hour shift

  • Pacific Palisades, CA: Relocate before starting work (Required)
