What You’ll Do:
- Be responsible for managing the calendars of the EVP and other team members
- Coordinate domestic and international travel arrangements
- Answer/screen telephone calls and mail for leaders
- Prepare expense authorization’s, coordinate invoice tracking, and track expense reports
- Maintain both electronic and physical filing systems
- Prepare highly confidential board slides, charts, and graphs and insert into presentations
- Coordinate meetings and teleconferences both online and in person
- Write, proof, and edit documents and correspondence
- Liaise among peers, managers, teams and other personnel as necessary to gather and communicate pertinent information and agendas
- Design and implement new processes and procedures for efficiency
What You’ll Need to Succeed:
- 5+ years of relevant experience as an executive administrative assistant, preferably in a technology company
- Proficiency in MS Office (Word, Excel, Power Point, and Outlook)
- Strong organizational skills, accurate attention to detail, sound decision-making abilities and great time management with the ability to set priorities
- Motivated, self-starter; able to make decisions with little or no supervision
- Broad based skills to determine what EVPs and team may need prior to them requesting
- Overtime hours may be required when work load exceeds normal operating conditions or to help cover while peers are out
- Can thrive in a dynamic environment and stay on top of multiple projects or assignments
- Strong communication skills, with the ability to confidently present products, deliverables, analyses, and/or issues
- Possess an analytical mindset, with the ability to understand a situation or problem and think critically to make decisions or come up with solutions
We’ll also need you to:
- Be a U.S. citizen
- Be able to travel up to 10%
Work Environment:
This position primarily works in the company office or in a home office. The position is largely sedentary with the majority of the position sitting in a chair and working with a computer. The role uses basic office equipment including a phone, video, computer, keyboard, mouse, and printer.
