Essential Duties (must be able to perform the job’s essential functions with or without a reasonable accommodation)
- Manage and maintain the CEO’s calendar and emails; schedule and arrange internal and external meetings, appointments, and special events. Arrange for meeting rooms, food/beverages, and reservations.
- Maintain current records and files for board-related business. Schedule board and committee meetings and prepare and distribute monthly board packets. Record and transcribe monthly meeting notes and prepare follow-ups.
- Support the leadership team in the day-to-day execution of projects and initiatives. Prepare a variety of correspondence, reports, spreadsheets, and other documents – ensuring proper format, grammar, spelling, and punctuation.
- Answer telephone calls in a professional and courteous manner – direct to the appropriate person/department – assist when appropriate. Use independent judgment to determine the priority and sensitivity of inquiries and responses.
- Serve as the “go-to” person for office inquiries.
- Prioritize deadlines- sensitive and confidential materials.
- Receive, sort, and distribute incoming mail and other packages in a timely manner.
- Track office supplies and establish a regular schedule for ordering, including corporate stationery, business cards, and general office supplies.
- Greet clients and vendors upon arrival and direct them to the appropriate office/person.
- Maintain office equipment and train staff on proper usage.
- Assist with maintaining various social media platforms used by RMC.
- Other duties as assigned.
Qualifications
- Proven experience as an Executive Assistant or similar role with five plus years of related experience in an executive administration role and excellent customer service skills.
- Proven interpersonal skills with experience providing administrative support in a high-profile environment.
- Highly efficient in the use of Microsoft Outlook, Excel, Word, SharePoint, MS Teams, Adobe Acrobat, Smartsheets.com
- Top-notch time-management skills.
- Ability to multitask and prioritize daily workload.
- High-level verbal and written communication skills.
- Must be self-motivated and deadline-driven.
- Able to work individually as well as part of a team.
- Outstanding attention to detail, organization, multi-tasking, problem-solving, interpersonal, and customer service skills.
- Adaptable, flexible, and comfortable in an entrepreneurial environment with new systems being put into place.
- Attention to detail and problem-solving abilities
- Ability to maintain confidentiality and exercise discretion
Working Conditions
- Regularly communicates with CEO and staff both verbally and in writing.
- The ability to view a computer screen and utilize a keyboard and mouse for detailed analysis of data and correspondence is required for the majority of the day.
- Comfortable working in a professional office environment. This role routinely uses standard office equipment, such as a computer, photocopier, and telephones.
- The person in this position must occasionally move about inside the office to access filing cabinets, office equipment, etc.
- Must be able to remain in a stationary position more than 50% of the time. This is not a remote position. While there is the option and flexibility to sometimes work from home, we value the relationships and culture that are fostered by being present in the office environment.
