Job Description:
We are currently seeking a highly organized and experienced Executive Assistant/Operations Manager to join our team on a part-time basis. This pivotal role requires exceptional organizational and bookkeeping skills, along with a "can-do" attitude and proactive approach to taking initiative. We are looking for an individual who is passionate about contributing to the growth of our agency by contributing ideas and strategies to drive our success. Prior experience in the travel industry is highly desirable. This position offers a unique hybrid work model, allowing for a combination of office-based tasks at our Freehold, New Jersey location and remote work with flexible hours.
Responsibilities:
- Process incoming and outgoing commission payments between our suppliers and travel agents.
- Assist with bookkeeping tasks, including tracking financial transactions and managing accounts receivable and payable.
- Utilize travel CRM program to maintain client records, track bookings, and manage communication with clients and suppliers.
- Onboard new hires and manage HR-related tasks.
- Provide staff training and support to ensure team members are equipped with the necessary skills and knowledge to excel in their roles.
- Collaborate with travel suppliers to ensure seamless coordination of travel arrangements and maximize agency opportunities for growth.
- Provide support to travel agents as needed, including assisting with client inquiries and resolving issues in a timely manner.
- General office management tasks, including scheduling and filing
- Assist agency owner with various tasks and initiatives.
- Assist with website updates and blog management.
- Support social media engagement and marketing efforts.
- Collaborate with team members to develop and implement strategies to support the growth and success of the agency.
- Other duties as assigned to support the operations of the agency.
Qualifications:
- Strong bookkeeping skills and financial management experience.
- Previous experience in office management, HR, or related fields preferred.
- Budget management and financial planning expertise.
- Familiarity with travel CRM programs.
- Technically proficient and adaptable, with a willingness to learn and problem-solve.
- Excellent communication and interpersonal skills.
- Exceptional organization and multitasking abilities.
- Strong problem-solving and decision-making skills.
- Entrepreneurial mindset with adaptability to industry trends.
- Knowledge of travel industry regulations is advantageous.
- Personal Disney travel experience is a plus.
- Proactive, driven, and initiative-taking approach.
- Ability to work independently and collaborate effectively.
- Flexibility for occasional in-office work.
