HPA is a management Consulting Firm seeking a professional and driven self-starter to support our CEO and team in our El Segundo headquarters office. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication and organizational skills. This role requires the ability to handle confidential information with discretion, prioritize tasks effectively, and anticipate the needs of the office and team.

Our Executive Assistant is critical to enabling the CEO to focus on valuable tasks and leverage his strengths, thus enhancing productivity. Minimum of 5+ years of executive administrative experience.
Work location: Hybrid in El Segundo
Responsibilities include but aren’t limited to:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prioritize incoming requests, emails, and phone calls for the CEO, ensuring timely responses and follow-up.
- Maintain confidentiality and handle sensitive information with discretion and professionalism. Prepare correspondence with clarity, conciseness, and with relevant follow-up actions.
- Support HPA leadership by providing flexible capacity for presentations, reports, and other documents in Word, Excel, and PowerPoint.
- Assist with special projects, firm-wide initiatives, and events (e.g. quarterly meetings, company happy hours, social calendar).
- Manage and prioritize multiple tasks and deadlines in a fast-paced environment, demonstrating flexibility and adaptability.
- Anticipate the needs of the CEO and proactively identify opportunities to streamline processes and enhance efficiency.
This is you:
- Are a super-duper fast, turbo-charged multitasker who works on several (not just two) things at once, not because that’s the job, but because that’s the only way you know how to do things.
- Have the memory of an elephant (or what is purported to be their memory).
- Move effortlessly between Excel, Outlook, and PowerPoint – and I don’t mean Alt-Tab between them – you have done work in Excel, love managing work with your Outlook folders and calendars, and can make PowerPoint edits, etc.
- Believe LinkedIn is a much more powerful connectivity tool than Instagram, Facebook, or TikTok.
- Get things done ahead of time, not just on time.
- Are comfortable looking at work email on the phone when not in the office and responding or handling things if necessary.
- Make minimal mistakes because you are incredibly detail-oriented.
- Hungry & humble: highly motivated and ambitious. No job is too big or too small.
Requirements:
- Proven experience as an executive administrative assistant or similar role supporting C-level executives.
- Bachelor’s degree preferred.
- Experience with professional services is strongly preferred.
- Exceptional interpersonal skills.
- Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to work under pressure in a fast-paced environment.
