Executive Assistant
SALARY RANGE: $65,000-$72,000 Annually

LOCATION: Hybrid, Must live in Northern California

ABOUT TRADESWOMEN INC.
Tradeswomen, Inc. (TWI) is a Bay Area non-profit organization that was established in 1979, with the mission of increasing the number of women working in the building trades and ensuring that they can thrive in their construction careers. TWI is a workforce development organization that is rapidly expanding and evolving into new territories such as Southern California.
Through the development of strong collaborative relationships with TWI’s partners, including local union representatives, cooperating employers, community-based organizations, workforce development programs and public agencies, TWI accomplishes its mission by concentrating on three key strategies:
Recruitment: Attract, recruit and train women from low-income communities to the building trade industry through community outreach, marketing, and apprenticeship opportunities.
Retention: Provide the supportive services needed to enable women to stay in the trades, including mentoring, childcare, support networks, and the elimination sexual harassment.
Leadership Development: Provide women with the skills to advance on the job and in their unions; create tradeswomen forums and partnerships to enact policy reforms that will enhance recruitment and retention.
TWI also believes apprenticeships and an expansive network of partnerships are critical in launching women into high wage building trades careers.
WHY JOIN OUR ORGANIZATION?
By increasing the participation of women in the construction trades, TWI is making a lasting economic impact! The Bureau of Labor Statistics estimates that the construction industry will grow by 4% between 2021 and 2031, approximately 168,000 new good paying jobs. While women's participation in the construction industry at a rate of 10.9%, most of the jobs held by women are office or sales positions. Tradeswomen make up only 3% of the construction workforce nationwide. Building and Trades job opportunities have above average earning potential, the inclusion of benefits, and union representation.
California has approximately 90,000 construction and non-construction apprentices. The largest number in the nation! However, only 8,000 (11%) of these positions are held by women! When construction union apprenticeship programs are separated out the number is even lower. TWI concentrates on construction union apprenticeship programs because these positions have higher wages and benefits.

JOB SUMMARY
Position Overview:
TWI is seeking a highly detailed and proactive Part-Time Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will thrive in a fast-paced environment, possess excellent organizational skills, and have experience supporting a Type A CEO. The Executive Assistant must be proficient in technology, including Google Suite, Microsoft Suite, and have experience with onboarding staff and event planning.
The ideal candidate for this role must possess the ability to effectively collaborate with a CEO who is ambitious, competitive, assertive, and who has strong organizational skills. The Executive Assistant must know how to thrive in fast-paced environments, driven by goals and deadlines, and exhibit a strong sense of urgency. It is essential for the Executive Assistant to be adept at navigating such personalities, understanding their need for efficiency, attention to detail, and a proactive approach to tasks. Additionally, the Executive Assistant should be able to support and complement the CEO's personality type by demonstrating strong organizational skills, the ability to multitask effectively, and a proactive mindset in anticipating needs and deadlines.
JOB DUTIES AND RESPONSIBILITIES
Key Responsibilities:
· Provide high-level administrative support to the CEO, including managing calendars, scheduling appointments, and organizing meetings.
· Prepare and edit correspondence, communications, presentations, and other documents.
· Assist with onboarding new staff members, including coordinating orientation sessions and preparing necessary documentation.
· Manage CEO's email inbox, prioritize emails, and respond to inquiries as needed.
· Maintain and organize electronic and physical files, ensuring accessibility and confidentiality.
· Coordinate travel arrangements and accommodations for the CEO as needed.
· Assist with event planning, including logistics, venue coordination, and attendee management.
· Prepare and distribute agendas, minutes, and other materials for meetings and events.
· Conduct research, compile data, and prepare reports as requested.
· Assist with special projects and initiatives as assigned by the CEO.
QUALIFICATIONS
· Bachelor's degree preferred.
· Proven experience as an Executive Assistant or similar role.
· Exceptional organizational skills and attention to detail.
· Strong written and verbal communication skills.
· Proficient in Google Suite, Microsoft Suite, and other relevant software.
· Ability to multi-task and prioritize tasks effectively.
· Experience with event planning and coordination.
· Positive attitude, proactive approach, and willingness to take initiative.
· Ability to maintain confidentiality and exercise discretion when handling sensitive information.
EDUCATION AND EXPERIENCE
· Three to five years of experience as an Executive Assistant, Personal Assistant, or similar role.
· Excellent MS Office and Google Suites knowledge, Salesforce a plus
· Outstanding organizational and time management skills
· Excellent verbal and written communication skills
· Discretion and confidentiality
· AA or BA degree preferred.
WORK ENVIRONMENT
· Hybrid, must live in Northern California
· Must be willing to travel statewide to various locations, events, conferences, and meetings, as needed.
· Up to 15% travel to TWI locations throughout California, as needed.
