Job Description
A qualified candidate must be highly organized and understand the value of maximizing the productivity and efficiency of the Chief Executive Suite as well as the protocols and procedures in communicating to boards, financial institutions, and investors.
Responsibilities:
- Communicate directly on behalf of the CEO with the Board Members, other executives, investors, financial institutions, and staff on matters related to the CEO’s programs and initiatives.
- Work closely and efficiently with the CEO to keep him/her informed and on track for upcoming commitments and responsibilities; assist in preparation of documents, power points, spreadsheets, etc. for upcoming meetings.
- Complete a broad variety of tasks such as managing extremely active calendars, complete expense reports on a timely basis, compose and prepare correspondence that is sometimes confidential.
- Arrange complex, detailed, and frequent travel plans, itineraries, and agendas as well as compile documents for travel-related meetings and monitoring status of flights while controlling costs.
- Prepare and edit correspondence, communications, and presentations.
- Correctly reconcile expense reports through Concur monthly, including receipt management, and acquiring necessary signatures from approving parties.
- Monitor and reconcile expense reports monthly for the CEO, CFO, and General Counsel.
- Coordinate Board Meetings and travel itineraries for Board Members as necessary; Prepare Expense Reports for Board Members for reimbursement for expenses related to WSR;
- Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining the cooperation of others; monitoring progress; problem-solving; and adjusting plans.
- Proactively manage competing priorities and follow through on projects to successful completion while under deadline pressures.
- Other assigned projects or tasks, as necessary.
Skills and Qualifications:
- Bachelor’s degree or equivalent experience.
- Must have the ability to exercise good judgment in a variety of situations and maintain strong written and verbal communication skills.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks with excellent attention to detail.
- Professional etiquette, interpersonal skills, and the ability to build relationships with other executives, board members, investors, financial institutions, and associates.
- Proven ability to manage confidential information with discretion and ability to effectively manage competing priorities.
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- Strong work tenure: five or more years of experience supporting C-Level Executives.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Advanced skill with Outlook and Calendar.
