Here are the key responsibilities and skills associated with this role:
Responsibilities:Calendar Management:
- Schedule and manage appointments, meetings, and conferences for the CEO.
- Coordinate travel arrangements and itineraries.
Communication:
- Handle phone calls, emails, and other forms of communication on behalf of the CEO.
- Draft and proofread correspondence, reports, and presentations.
Office Organization:
- Maintain an organized and efficient office environment.
- Manage filing systems, both digital and physical.
- Review and order applicable office supplies, equipment, and materials.
Meeting Support:
- Prepare meeting agendas, materials, and follow-up on action items.
- Attend meetings, take minutes, and provide summaries as needed.
Information Management:
- Conduct research and compile information for various projects.
- Manage and prioritize incoming requests for the CEO's attention.
Confidentiality:
- Handle sensitive and confidential information with discretion.
Project Coordination:
- Respnsoible for Fleet Managment, ongoing insurance compliance, and meeting all DOT requirements and communication.
- Expense Report oversight and management.
- Office Budgets reivew and reporting.
- Assist in the planning and execution of special projects or events.
Relationship Management:
- Build and maintain relationships with internal and external stakeholders, vendors, peer gorups, and interdepartmental teams.
Tech Savvy:
- Proficient in using office software (Microsoft Office suite, Google Workspace, etc.).
- Familiarity with project management tools and collaboration platforms.
Problem-Solving:
- Proactively identify and address potential issues before they escalate.
Organizational Skills: Ability to manage multiple tasks and priorities efficiently.
Communication Skills: Excellent verbal and written communication skills.
Time Management: Efficiently prioritize tasks and manage the CEO's schedule.
Adaptability: Flexibility to handle unexpected changes and challenges.
