The Role:
The ideal Executive Assistant should be an experienced, highly-organized, and energetic self-starter with a successful track record of thriving in a fast-paced environment. The Executive Assistant is responsible for supporting 2 executive leaders and managing the Houston office. The ideal candidate will be able to work closely with the executive team, outfit the new Houston office space, manage vendors and procurement, support HR functions, implement platforms and processes for office functions (conference room usage, etc.) and support events such as large meetings, and company parties. This role and functions will evolve over time as the company grows, and therefore we need someone who is excited about growth!

What You’ll Do:
  • Support C-level executives and other leadership with administrative tasks such as arranging travel, booking appointments, booking rooms/spaces, expense reporting, mailing packages, coordinating meetings, creating meeting minutes, and other miscellaneous errands.
  • It is imperative to understand that job duties and expectations will change as there will be a need to be able to flex to accommodate, within reason, as business needs demand
  • Help the executive team multiply their capacity by implementing and improving internal administrative and communication systems.
  • Ensure back-end administrative tasks are always taken care of, providing a high degree of organization, creating efficiencies and processes, using templates, etc.
  • Anticipate conflicts (such as vendor access issues) and solve tactfully and quickly.
  • Help make the Cart.com Houston office a home for our employees and guests by being the hospitality liaison for visitors and company events (company town halls, board meetings, guest visits, etc.), going above and beyond to make people feel welcome and cared for.
  • Provide effective Front Desk Coverage
  • Manage office supplies inventory and office budget.
  • Ensure office spaces are clean, presentable, and always fully stocked with various refreshments and snacks.
  • Serve as liaison and coordinator for any office IT Networking issues
  • Plan and execute Cart.com events – whether in Houston or at our other Cart.com locations – to support culture building across our team.
  • Coordinate, organize and set-up office lunches, events & catering for meetings
  • Interface with Building Management to ensure smooth operations of the office, maintenance requests and any necessary repairs.
  • Manage and maintain conference room bookings. You will anticipate and solve potential conflicts with double bookings.
  • Must be comfortable standing for long periods of time and moving boxes up to 25 pounds

What You’ve Done:
  • You are a seasoned administrative or Executive Assistant who has directly supported Senior Leadership and/or executive leadership (i.e., C-suite)
  • You have successfully lead office management responsibilities directly and/or indirectly in a corporate office environment.
  • You have lead event management and execution for a corporate office environment and/or high-profile office and/or board meetings.
  • You bring advanced experience using Microsoft Office, Outlook, Zoom and Teams
Nice to Haves:
  • Your experience is within Private Equity and/or Investment Banking
  • You have experience in a startup environment supporting operations and the executive team.
  • Notary Public
