Job Summary:
The Executive Assistant provides comprehensive administrative support to the Executive Director, acting as the primary liaison for internal and external communications and overseeing special projects and executive outreach efforts.

  • Flexible in work schedule, willing to work non-standard hours as needed, such as for travel and meetings.
  • Encourages teamwork among individuals from diverse work units.
Duties/Responsibilities:
  • Provide comprehensive administrative support to the Executive Director (ED), including managing their calendar, composing confidential correspondence, coordinating travel arrangements, and preparing meeting documents and minutes.
  • Ensure the ED's schedule is effectively managed and adhered to.
  • Facilitate access to the ED's time and office in mutually beneficial ways.
  • Communicate directly with Board members, donors, and others on behalf of the ED regarding programmatic initiatives.
  • Collect and prioritize incoming issues and concerns addressed to the ED, including sensitive or confidential matters; Determine appropriate responses or referrals.
  • Serve as a liaison to ensure smooth communication between the Executive Director's office and internal departments. Demonstrate leadership to maintain credibility, trust, and support among senior management staff.
  • Collaborate closely with the ED to keep them informed about upcoming commitments and responsibilities. Act as a "barometer" by staying informed about environmental issues.
  • Lead efforts to cultivate relationships crucial to the organization's success.
  • Manage various special projects for the ED, some of which may impact the organization.
  • Successfully complete critical aspects of deliverables, including drafting correspondence and other tasks that facilitate the ED's leadership.
  • Prioritize conflicting needs, handle matters expeditiously, proactively, and follow through on projects to successful completion, often under deadline pressures.
  • Serve as the organizational secretary. Assist with management of the Executive Office and Board of Directors budgets, as well as working with Finance staff to manage expenses for the ED and all the board of directors.
  • Demonstrate Christian commitment and the spirit of Mission Network to staff, board, and constituency.
  • Engage in staff prayer, inspiration sessions, and other all staff functions, contributing positively to corporate spiritual life and office values.
  • Attend board meetings and spiritual retreats with the Executive Leadership Team as requested.
  • Assist and/or represent the Executive Office in planning staff activities such as being the MnM planning team, all-staff retreat, townhall meetings, etc.
Preferred Education and Experience:
  • Bachelor’s degree preferred or equivalent work experience
  • Desirable to have intercultural mission and service experience
Travel Requirements:
Ability to travel 30-45 days per year and as required.
