Summary Description
The Executive Administrator will work as an integral member of the organization. The primary responsibilities of this role involve providing comprehensive administrative support to our President and Executive Team members. The Executive Administrator will execute day to day responsibilities with autonomy and limited direction. This role is a single point of contact for our senior leaders, working with other administrators across the organization.
Duties and Responsibilities
Essential Functions:
- Complies with and ensures compliance with all Tri-M safety policies and procedures.
- Complies with and ensures compliance with all Tri-M employment policies and procedures including standards of conduct and appearance to reflect positively on the Company.
- Schedules, organizes, and maintains activities such as professional calendars, meetings (both in person and virtual), travel arrangements and itineraries.
- Prepares and submits expense reports in Concur for Executive Team.
- Maintains organizational chart, resumes for bid documents and email distribution lists.
- Answers phones, greets, and escorts visitors to meetings.
- Types, edits, and distributes minutes for Executive and Board meetings.
- Renews corporate and Executive licenses and maintains files. Arranges for CEU’s as required. Maintains online portals according to customer requirements.
- Coordinates permits and inspection documents that need signed and sealed.
- Organizes and maintains confidential files of financial information and corresponding personal information for the Executives. Runs reports as necessary.
- Provides executive personnel with notices of upcoming conference calls, meetings, cancellations, and rescheduling.
- Assists Human Resources with the coordination of corporate activities and employee functions as needed, including monthly distribution of Birthday cards.
- Recommends improved methods of operation.
Job Qualifications
Skills/Educational Requirements:
- High school education or equivalent. Two years post secondary education preferred.
- Minimum of Four (4) years’ experience supporting senior level executives.
- Ability to maintain complex calendar by determining priorities of meetings and their importance to deadlines.
- Strong verbal, written communication, interpersonal skills and attention to detail.
- Excellent analytical, problem-solving, organizational, and prioritization skills.
- Self-motivated and must possess the ability to work independently with minimal supervision.
- Maintain the highest standards of integrity and confidentiality.
- Proficiency in MS Office Suite; Outlook, Excel, Word, PowerPoint, and Teams.
Physical Requirements:
- Working 40 hours/week, scheduled in 8-hour shifts.
- Sitting 6 to 8 hours/day.
- Lifting weights of 0 to 30 lbs. from floor to above shoulders.
- Repetitive use of hands for writing, typing, data entry, and filing.
- Vision adequate for computer use and reading.
- Hearing adequate for phone use.
