Job Description:
Our team is seeking a highly organized and detail-oriented Administrative Assistant to join our fun loving, culture first team! The ideal candidate will provide crucial administrative support to ensure the smooth operation of our office and assist our team in delivering exceptional consulting services to our clients in the medical industry.
Responsibilities:
- Performs a variety of activities and duties in support of the executive team
- Helps prioritize activities, initiatives, special projects, meetings, and events in accordance with the executive team's vision.
- Assists the executive team in researching and preparing reports, presentations, and other internal and external communications.
- Interfaces with vendors, manages supplies, and coordinates facilities.
- Provides administrative support to the Executive Team and Operational Teams.
- Plans and manages budgets for events and ensures adherence to financial guidelines.
- Prepares for meetings, including scheduling, preparing presentation materials, arranging teleconference lines, and coordinating catering services.
- Attends executive and departmental meetings upon request, generates meeting minutes, and distributes final, approved meeting minutes.
- Plans and coordinates travel arrangements, including air travel, ground transportation, hotel accommodations, and delivery of travel itineraries.
- Orders and maintains supply inventories to support office operations.
- Handles confidential information with discretion, ensuring information is not distributed or communicated outside of approved individuals/systems.
- Maintains a high level of confidentiality and attention to detail to support the completion of each special project.
- Performs other duties as assigned to support the needs of the administrative office.
Requirements:
- Previous experience in an administrative role, preferably in a medical or healthcare-related setting.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Attention to detail and accuracy in all tasks.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Knowledge of medical terminology and healthcare industry practices is a plus.
Job Type: Full-time
Pay: $24.00 - $33.00 per hour
Expected hours: 40 per week
