We are looking for an experienced Executive Administrator to the Chief Business Officer (CBO). This is a critical role that provides high-level administrative support to the CBO facilitating the efficient functioning of the department and contributing to the overall success of the organization. This role involves managing a wide range of administrative, organizational, and communication tasks while maintaining the utmost discretion and professionalism due to the direct reporting relationship to the CBO.

Responsibilities

  • Coordinate and manage the CBO’s calendar, including scheduling meetings, appointments, and events.
  • Plan, schedule, and coordinate meetings, conferences, and presentations involving the CBO.
  • Assist the CBO in managing tasks and projects by tracking progress, deadlines, and deliverables. Follow up on action items and ensure timely completion.
  • Establish and maintain positive relationships with internal team members, clients, partners, and stakeholders. Serve as a representative of the CBO’s office and maintain a professional demeanor.
  • Provide administrative assistance to the CBO, including expense tracking, budget monitoring, supply management, and other office-related tasks.
  • Collaborate with other administrator assistants and team members to ensure seamless coordination and communication across the organization.

Skills

  • Proven experience as an executive assistant, preferably supporting executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in office software and tools (Microsoft Office Suite, scheduling software, etc.).
  • Discretion and ability to handle sensitive and confidential information.
  • Detail-oriented with excellent problem-solving capabilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong interpersonal skills and professional demeanor.
  • Adaptability and flexibility in managing evolving priorities.
