This position reports to the President, DEX Solutions. We are looking for a goal-driven, self-motivated, and ambitious Executive Administrative Assistant to conduct market research to create qualified leads for the sales team. Additionally, this individual will support multiple office departments with specific projects and daily report generation. The ideal candidate must be energetic, passionate, creative, resourceful, and a great communicator.
This is an onsite position from our Camarillo, CA office. Qualified candidates must be able and willing to work from the office Monday-Friday between the typical hours of 7:00AM-4:00 PM PT. Schedule flexibility is needed to attend company meetings and complete deliverables.
What you’ll do:
Reporting duties: 80% of your workday.
- Prepare reports and analyze data as required by the leadership team.
- Provide administrative support for the sales team.
- Create and maintain databases for tracking key metrics and information.
- Handle sensitive and confidential information with discretion and maintain the highest level of confidentiality.
- Collaborate with other administrative staff to support cross-functional projects.
- Provide backup assistance to other administrative roles, as needed.
- Organize and prepare materials for meetings, including agendas, presentations, and reports.
- Attend meetings and take minutes, as required.
- Maintain organized and up-to-date files, records, and documents.
- Provide administrative support (i.e. book travel) for the sales team.
Market research/sales operations duties: 20% of your workday.
- Assess market data to identify prospective customers that align with DEX’s ideal client profile.
- Research target companies and identify key prospects for the sales team to call on.
- Exercise sound judgement when assessing market data and lead creation.
- Contact prospective lead companies via email, phone, Teams, etc., to verify lead quality.
- Maintain and coordinate teams’ schedules, meetings, and appointments.
- Prioritize and schedule meetings and events, ensuring efficient time management.
- Draft and edit correspondences with experience writing Executive Summaries.
To be qualified you’ll have/be:
- Positive attitude with a drive to succeed!
- Previous experience as an administrative or executive assistant, preferably with a sales or market research organization.
- Proficiency with Office and sales/marketing software.
- Independent work ethic and self-starter mentality.
- Strong organizational and time management skills.
- Exceptional communication skills; written and verbal. Must be comfortable calling companies to acquire market information.
- High attention to detail and ability to manage multiple projects simultaneously.
- Adaptability and capacity to hit firm deadlines.
- Professionalism that thrives in a team environment.
- Bachelor’s degree required.
