Executive Office Administrator
Job Description:
Purchase Green Artificial Grass is seeking an experienced administrator and/or executive assistant to join our team. The ideal candidate will be a hard-working professional with the ability to multi-task, prioritize duties based on level of urgency and importance, works well under pressure with short deadlines, and can manage their own time effectively.
This position will work closely with our sales and operations team, accounting and finance departments, and provide support to our customers and vendors.
Responsibilities:
- Greeting customers that walk into the showroom and direct them to the appropriate person or department. You will also answer/direct phone calls in a professional and courteous manner.
- Answering basic questions about Purchase Green Artificial Grass and our products.
- Manage office supply inventory and place orders for all store locations when necessary.
- Assist with payroll processing on a bi-weekly schedule and maintaining employee records, time off requests, etc.
- Maintaining and updating customer records.
- Processing and/or matching sales orders, invoices, and purchase orders.
- Assisting with accounting records, ledgers, reconciliations, bank deposits, cash logs, etc.
- Coordinate and schedule meetings, appointments, and travel arrangements as needed
- Assist with training development, processing on-boarding documents and all account setups for new hires.
- Provide support to employees related to their human resources needs (ie. Insurance benefit updates, registration, etc.), including handling sensitive and confidential information with discretion.
- Assist in maintaining a clean and organized work area for all incoming mail.
- Assist other departments as needed, including requests that come directly from the CEO and COO in a timely manner.
Required Skills:
- Excellent written and verbal communication skills.
- Proven experience as an Office Administrator or executive assistant or in a similar role
- Proficient in office management and crm software (Microsoft Office Suite, NetSuite, Jobber, HubSpot, ADP, etc.)
- Knowledge of and experience using payroll processes and systems
- Familiarity with training development principles.
- Knowledge of and experience with human resources practices and procedures.
- Experiences with phone systems and handling multiple phone lines.
- Excellent organizational and time management skills!! Must have the ability to manage time appropriately.
- Attention to detail is a must.

Salary: $46,000 - $52,000
