The Executive Assistant serves as one of the two primary administrative support individuals in the Executive Offices at Franciscan Children’s. The incumbent will typically support the business needs of three senior executives, serving as primary point of contact for internal and external constituencies on all matters pertaining to the assigned executives. The Executive Assistant performs traditional and advanced administrative functions to facilitate the efficient operation of the organization with a high degree of confidentiality.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Provides multi-faceted administrative support and assistance, such as writing and editing communication, drafting memos, and preparing communications on behalf of the executives
- Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects and information.
- Manages the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Organizes meetings and events, including scheduling, sending reminders, following up tasks, getting AV equipment ready for meetings and organizing catering when necessary.
- Conducts research and information gathering on behalf of the executive and prepares summaries and reports.
- Develops positive and strategic relationships at all levels of the organization
- Uses discretion, judgement, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
- Answering phone calls in a polite and professional manner
- Covers and helps another executive assistant when needed
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
EDUCATION
- Bachelor's Degree Required
EXPERIENCE
- 5+ years or more of experience in administrative assistance.
- 1-2 years or more of experience in Executive Administration.
Job Types: Full-time, Part-time
Pay: $60,000.00 - $85,000.00 per year
