As an Executive Administrative Assistant, you will perform diverse administrative functions for the CIB Strategy team. In this role, you will demonstrate an ownership approach to all tasks, initiative and confidence to complete assignments with limited supervision, a proactive approach to problem-solving, and the ability to adjust to changing expectations or priorities. You will also demonstrate excellent interpersonal and communication skills. Your responsibilities include, but are not limited to, the management of executive calendars and meeting scheduling across different time zones, and planning of event logistics. You will coordinate efforts with the other assistants supporting the team.
This is an on-site position, 5 days a week, Monday through Friday. Your hours will be 8am to 5pm, with the flexibility to work additional hours to meet business needs.
Job Responsibilities
- Heavy emphasis on Calendar Management: process scheduling requests and resolve conflicts with sense of urgency
- Conference/Event Planning: organize, gather and enter details for offsites / team activities / group collaborations, and disseminate logistics to attendees
- High Volume Email Management: monitor requests and respond in a timely and professional manner
- Maintain familiarity with all policy and technology updates
- Phone Coverage: answer phones professionally, field phone calls, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner
- Travel and Expense Management: process travel and expenses with a focus on accuracy and timeliness, while adhering to company’s policies and procedures
- Produce high quality emails and messages to individuals at all levels of the organization
- Work cooperatively with the Administrative Assistants team, in positive partnership to support each other seamlessly
- Ad hoc duties, as assigned
Required qualifications, skills and capabilities :
- A Bachelor’s Degree is preferred
- Must have 2-5 years of relevant professional experience
- Excellent verbal and written communication skills; proven ability to build positive collaborations with others
- Organized and meticulous
- Self-starter, high degree of initiative and follow-through
- Ability to work and multi-task in a high-pressure environment
- Should have an improvement mindset, continuously looking to improve processes and making recommendations accordingly
- Motivated by a collaborative environment and willing to go the extra mile
- Proficient in the Microsoft Suite (Outlook, Word, Excel, PowerPoint)
- Ability to learn procedures and proprietary systems quickly
