Event Management Intern
Since 1923, Visit Indy has proudly served as the city's official sales and marketing organization, a non-profit charged with driving tourism to Indy. POSITION PURPOSE
We are searching for an organized, self-motivated, positive, proactive individual to join the team as an Event Management Spring Intern working approximately 20 hours per week. This internship will provide the opportunity to gain experience working in key stakeholder and client-facing events. All Visit Indy team members reflect the organization's "3 Ps" culture - productive, positive, and progressive.
Spring Internship Dates: January 2024 - Early June 2024

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ESSENTIAL FUNCTIONS
Event Support - In support of the Event & Communications Manager, assist with creative concepts and overall execution of key customer and stakeholders events including: State of Tourism (February), NBA All-Star Weekend Familiarization Trip (February 17-20), Solar Eclipse Familiarization Trip (April 6-9), ROSE Awards (May 9), and Indianapolis 500 Activations (May 10-26).
  • Assist in the creative theme and design plan
  • Assist in securing event rentals and supplies
  • Coordinate with various committees and staff throughout planning process
  • Participate in event logistics meetings with partners and internal teams
  • Provide support in ticket allocations and seating arrangements
  • Prepare and package amenities for events with key customers and stakeholders
  • Assist with onsite event execution
  • Contribute to wrap up reports on each event

OTHER FUNCTIONS
  • Assist with site selection and rental of offsite venues for entertaining clients and future events
  • Write communication and marketing collateral per event that align with Visit Indy's media relations tatics
  • Collaborate on tradeshow booth activations and promotions
  • Performs other duties as assigned.

EDUCATION AND/OR EXPERIENCE
To perform this job successfully, an individual must have the following education and/or experience.
  • A student studying in the event management, tourism or hospitality field.
  • Must be considered a junior/senior or have completed a minimum of two full years of college coursework.
  • Prior experience with managing events as an intern or at a part time job preferred.
  • A member of a collegiate chapter of a professional organization- PCMA, ISES, or MPI is a plus.

  • Excellent verbal/written communication and interpersonal skills.
  • Ability to make recommendations to effectively solve problems, using judgment consistent with standards, practices, policies, and procedures.
  • Knowledge of Microsoft Office, including Word, Excel, Access, Outlook, and PowerPoint.
  • Ability to focus on details, handle multiple tasks, and remain highly organized in a fast-paced environment.
  • Ability to interact with a variety of managers, employees, candidates, vendors, and the general public, both on a one-on-one basis and in groups.
  • Ability to take initiative and work independently.

PHYSICAL DEMANDS

  • This position requires some physical activity, such as reaching, stooping, kneeling, crouching, and crawling; it requires occasional pushing, pulling, lifting, carrying, and moving (up to 15 pounds).
  • Good speaking and listening skills.

  • Ability to operate office equipment, including computers, copiers, fax machines, and phones.
