Event Registration & Data Specialist
Position Overview:
The United Federation of Teachers (UFT) is seeking an experienced and organized Event Registration & Data Specialist to execute successful events using the Cvent database. The incumbent will be responsible for coordinating all aspects of online registration and onsite registration logistics for assigned events. The ideal candidate will be able to handle multiple events simultaneously, work well under pressure, and have excellent communication and interpersonal skills.
Duties/Responsibilities:
Under the direction of the Assistant Director of Cvent, the incumbent will:
- Collaborate with UFT departments and staff to ensure events align with organization’s goals and objectives.
- Manage the registration process for attendees and exhibitors at assigned events
- Manage registration databases, communicate with participants, and coordinate with other event staff.
- Responsible for the creation, quality assurance, and ongoing testing of multiple online Event Registration systems.
- Develop and maintain regular registration reports, ideally as part of real-time dashboard
- Analyze all registration data on a consistent basis to highlight trends, including year-on-year comparisons, to influence marketing and operational activity, while identifying areas of improvement.
- Strategize with event teams and vendors to achieve registration goals
- Troubleshoot registration related issues.
- Create onsite registration layouts and staging guide documents as needed.
- Coordinate and finalize temporary staffing needs for assigned events
- Travel to events to manage onsite registration process and temporary staffing
- Assist in responding to incoming customer inquiries.
- Responsible for processing payments and issuing refunds, as well as managing waitlists and coordinating on-site check-ins.
Education and Experience:
- Bachelor’s degree and at least 3 years of meeting and event experience.
- Cvent experience heavily preferred.
- At least 3 years of experience coordinating and scheduling multiple events simultaneously,
- Experience handling high-volume, production-based projects, including prioritizing, organizing, and tracking details, effectively managing deadlines and multiple priorities.
- Excellent project management skills and attention to detail.
- Strong interpersonal, communication and written skills.
- Ability to work under pressure and handle multiple events simultaneously.
- Knowledge of event industry trends and best practices.
- Gather requirements from stakeholders and implement them in Cvent’s event software.
- Research vendors and assist in the selections based on their creativity, quality, and cost.
- Communicate with stakeholders and review the initial implementation with required changes.
- Attend Cvent Event Management training and complete the certifications as required.
- High comfort level in using online software products.
- Must be articulate, organized, detail-oriented and ability to multi-task.
- Quick learner, with positive attitude and ability to work well within a team with analytical and logical skills.
- Ability to work hybrid with a fast-paced, dynamic team
- Available weekends as needed.
Salary
- Starting $65,000 annually
