The Television Academy, based in the NoHo Arts District in North Hollywood, California, is a nonprofit organization devoted to celebrating and empowering storytellers to push the boundaries of what Television can be. The only major organization fully representing the television and broadband screen entertainment industry, it is made up of nearly 20,000 members, representing 31 professional peer groups, including performers, directors, producers, art directors and various other artisans, technicians and executives.
The Television Academy recognizes excellence among its peers with the Emmy award, culminating in the Primetime Emmy Awards telecast each fall. The salary range for this role is $28 - $30 an hour depending on experience. This is a hybrid/remote role, you will be onsite 2 days a week. Reports to SVP, Event Production.
Summary of Position
The Event Production Coordinator will support all aspects of the various events that the department produces and will assist with the booking process for FYC and third-party rental events. Additionally, this role will be responsible for supporting the SVP Event Production and all other Event Production Staff on various event related duties. The role will coordinate many aspects of the pre-planning and pre-production for Academy wide Activities, Peer Group events and Television Academy Foundation events. This role will also support, and coordinate logistics associated with a variety of Emmy season events including but not limited to Nominee Celebrations, sponsor activations and an Emmys viewing party. These duties include but are not limited to venue logistics as well as the invitation process, email blasts, management of the RSVP lists, production meeting schedules, coordination and communication with vendors and processing invoices and assisting in the reconciliation of event budgets. The coordinator will support the development of year-round events and will assist where needed on other events and activities. This role will be expected to interact and communicate effectively with internal and cross functional teams including the creative process, coordination of facilities deliverables for load in, event day and load out.
This role will be expected to interact with resources from other Academy departments including media and brand management, membership, awards, and operations and with the Academy Foundation. This position will need to have flexibility and will need to possess a strong customer service focus.
Duties and Responsibilities
- Coordinate with various vendors regarding event logistics
- Manage RSVP lists & monitor Events email
- Tracking of Design Services requests and other event marketing related needs
- Manage VIP lists, VIP seating, parking, signage and green room needs
- Communicate and confirm details with registration staff and assist with event check in
- Assist with tracking / management of talent / clip releases
- Coordinate scheduling of production meetings
- Print and distribute materials for production meeting
- Communicate event needs to the Academy Facilities team
- Assist with the booking process for Academy and third-party events
- Upload event RSVP lists to the iPads and prep for registration
- Assist with event reconciliation including but not limited to invoice tracking, budget updating, and all functions associated with event close out
- Provide support as needed for all other Academy events and shows
Minimum Requirements
- Minimum 2-3 years of related experience
- Excellent communication skills and possesses a strong ability to work with various teams of vendors and or internal departmental teams
- Ability to establish relationships and able to follow through on commitments
- Ability to think strategically, conceptually, and creatively
- Basic understanding of developing budgets and production timelines
- Computer proficient, including Excel, Word, PowerPoint
- Strong customer service skills and focus
- Must be available to work nights and weekends
- This position is based in LA and requires being in the Television Academy offices
- Bachelor's degree or equivalency in directly related experience
