Event Planner

JOB PURPOSE
To utilize gifts and talents in planning and executing events that will contribute to sex trafficking awareness and relationship building. To create impactful events that assist in moving AIM’s mission forward in Jesus’s name and in Jesus’ way.
ESSENTIAL DUTIES AND RESPONSIBILITIES
I.E. THOSE WHICH ARE BASIC, NECESSARY, AND AN INTEGRAL PART OF THE JOB
Strategy/Development
- Develop event strategies that target specific audiences, campaigns and seasonal activities.
- Evaluate current event planning strategies and develop systems that would allow metrics to play a role in decision making and planning.
- Event standards
- This includes staying up to date with trends and best practices
- Develop, maintain and consistently update spreadsheets of all event timelines, action items and future event plans.
- Establish and develop relationships with vendors and venues.
Oversight
- Oversee all aspects of event planning and execution with a leadership style that affords mentorship and modeling.
- Oversee all events and event planning with a Player Coach style of leadership, from the inception of ideas, through event fruition.
- Be the one who is responsible for approvals of event needs with consideration to the allotted budget.
- Monitor and coordinate people, as needed, to ensure a successful event.
Collaboration/Communication
- Collaboration with ALT (Advancement Leadership Team) and the CEO on advancement strategies and event possibilities.
- Be the point of contact and key associate before and during events. This includes set-up and tear-down.
- Collaborate with Marketing for development of mailers, brochures, signs or social media needs.
- Collaborate with the Finance Department in event budget planning and approvals.
- Collaborate with HR to ensure compliance, including but not limited to: liability insurance for all events hosted by AIM.
- Convening ad hoc teams and keeping multiple stakeholders updated on progress.
Travel
- Travel to and from events will be a necessary part of your job. This would mostly include regional events, but larger more broad range events should be understood as probable.
- Travel abroad to AIM locations is unlikely unless determined necessary by your supervisor and agreed upon by you.

POSITION QUALIFICATIONS AND REQUIREMENTS KEY RELATIONSHIPS

EDUCATION AND EXPERIENCE
Bachelor's degree in Marketing with minimum of 7 years experience or Master’s degree with 5 years of experience.
Leadership background with supervision of teams.

- Ability to prioritize event strategies with Advancement Directors who will articulate needs associated to Churches, individual donor bases, businesses or special events.
- Data analysis and critical thinking, tracking and reporting.
- Ability to negotiate: Examples would include vender and venue acquisition.
- Maintain working knowledge of the complex needs of a wide variety of events.
- Computer skills relevant to the demands of this role including but not limited to google docs and sheets, gmail, and familiarity with project management software such as monday.com.

The employee is regularly in an office environment with adequate light and low noise levels.
