Purpose

The Event Operations Supervisor is a critical role in ensuring the success of events held at the San Diego Convention Center. This position partners with Event Managers to facilitate exceptional customer service and quality of ancillary resources in meeting client’s needs before, during, and at the close of onsite events. A Event Operations Supervisor coordinates and supervises cleaning and set-up crew activities for their assigned shift and ensures safe work practices are adhered to. The Event Operations Supervisor is a highly motivated, results-driven individual, who can effectively work independently or as part of a team in planning, problem solving and organization of work.

Essential Duties and Responsibilities

  • Plans, directs and supervises work assignments of Facility Services employees in order to provide efficient performance of building set-up/breakdown and cleaning tasks.
  • Prepares daily work assignments for Facility Services employees.
  • Trains employees on performance standards, safe work practices and equipment operation to improve efficiency and maintain quality in delivered services.
  • Monitors the performance of Facility Services employees under his/her supervision and, when necessary, conducts employee coaching/counseling with immediacy, fairness, tact, and respect.
  • Prepares cleaning service and set-up documentation as necessary according to department protocols.
  • Develops and implements strategic flow of staff assignments for continuity between shifts and completion of required tasks.
  • Utilizes and updates the Computer Maintenance Management System (CMMS) for work orders and service requests.
  • Utilizes and monitors smartphone-based applications for staffing and task management allocation and inspection protocols in order to establish and define service benchmarks.
  • Reviews timesheets for employees under his/her supervision to check for accuracy, including billing details and tracking absenteeism/tardiness.
  • Coordinates and oversees periodic compilations of Building Services inventory levels.
  • Oversees organization and cleaning of storage/utility rooms as defined by Facility Services department Standard Operating Procedures.
  • Verifies the cleanliness of all restrooms, lobbies, foyers, loading docks, meeting rooms, exhibition halls and the exterior of the facility by performing routine inspections during assigned shift.
  • Supervises employees in the set-up and breakdown of equipment for events and ensures department quality standards are met.
  • Maintains service records and prepares thorough passdowns before next scheduled shift arrives.
  • Ensures proper care and use of uniforms, equipment and supplies by employees under his/her supervision to maintain the San Diego Convention Center Corporations standard of excellence and professionalism.
  • Provides direction for appropriate distribution of necessary equipment to employees and work safety training in accordance with all Federal and state regulations and company policies.
  • Ensures that staff assigned to complete a task are appropriately trained for the task and work in a safe manner.
  • Other duties may be assigned.

 

Supervisory

Directly supervises 5 to 100 employees of the Facility Services department dependent on building activity and shift assignment. The supervisory responsibilities are to be carried out in accordance with the San Diego Convention Center Corporation’s policies, procedures, and applicable Federal and California state laws. Responsibilities include training employees; planning, assigning, and directing work; quality control of services rendered; efficiency in production of work; recognition and coaching of employee performance; as well as addressing complaints and resolving problems. Supervisors are responsible for teambuilding and maintaining morale with employees and peers.   

 

Qualifications

Education and/or Experience

High school diploma or general education degree (GED); one year direct supervisory experience; or equivalent combination of education and experience in the hospitality, sports facility, concert venue, or convention industry.

 

Language Skills

Ability to read and interpret documents such as work orders, department instructions, safety rules, operating and maintenance instructions, and procedure manuals.  Ability to compose routine reports and correspondence.  Ability to communicate clearly and effectively before groups of customers or employees of the organization. Bilingual in English/Spanish or English/Tagalog, helpful, but not required.

 

Mathematical Skills 

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to prioritize and strategize workflow. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

None.

 

Other Skills and Abilities

Must be a self-starter and able to work independently with limited supervision. Thorough knowledge of materials, methods, equipment and tools used in the custodial trades at sports facilities, convention centers, and/or concert venue highly preferred. Previous experience supervising employees and directing work, with a strong understanding of the principles of team building and performance management. Must possess excellent verbal and non-verbal communication skills including the ability to answer guest and employee questions regarding the facility in the English language.  Must possess and exhibit good interpersonal skills, including the ability to work with a diverse employee and management team. Strong computer literacy with experience in word processing and spreadsheet applications. Knowledge of CMMS software and smartphone-based applications preferred.  Must be able to work all three shifts which may include evenings, weekends and holidays, with the potential to rotate shifts.

While performing the duties of this job, the employee is regularly required to remain stationary, be mobile, navigate the property, handle, reach, and detect objects, tools, or controls, and detect scent and detect sounds. The employee must be able to position self to access low areas, traverse heights and remain stable while doing so, balance, and the ability to bend, kneel, or crouch. The employee must be able to move objects and use abdominal and lower back muscles to provide support over time without fatigue. Constant movement and use of limbs; this position requires good manual dexterity, coordination and stamina. The employee must be able to regularly push/pull objects weighing up to 25 pounds and occasionally push/pull objects weighing up to 50 pounds. The employee must have the ability to discern or detect items throughout the facilities to ensure safe performance of work. The employee is required to maneuver throughout the Convention Center facility to complete job assignments.

Offices for this division are located within the Facility Services area on the mezzanine level of the Convention Center. The noise level in the office environment is usually moderate with noises originating from persons talking within the office and office equipment being operated. Frequent interaction with employees, clients, and visitors via email, telephone and/or face-to-face. May be exposed to exhaust fumes and airborne particles. While performing the duties of this job, the employee is occasionally exposed to outside conditions that include inclement weather, heat and humidity. The employee is frequently exposed to moving mechanical parts, in the presence of fumes or airborne particles and toxic or caustic chemicals, and risk of electrical shock.  While on the show floor, the noise level in the work environment is usually loud. This position is exposed to cleaning chemicals, which are used in accordance with manufacturer’s instruction labels, posted on the product.
