About This Opportunity
Responsibilities
Routinely exercises discretion and independent judgment and takes independent action in the course of performing advanced, diversified and confidential administrative duties which require broad and comprehensive experience, skill and knowledge of organizational policies, practices and procedures. Support experience with executive level management is required.
- Prepares and/or composes correspondence, memoranda, reports, presentations and various other documents using a variety of computer software packages.
- On a routine basis must exercise independent judgment in creating the appropriate format and information to be included in documents.
- Documents may be routine to complex in the formatting required.
- Assists manager in writing or editing speeches and presentations.
- Without specific instructions, customarily opens screens, prioritizes manager’s mail/email and decides how to respond or process.
- Utilizes discretion and judgment to initiate routine and some non-routine correspondence in response to mail/email as appropriate.
- Screens telephone calls and visitors, uses discretion and independent judgment to determine appropriate course of action and resolve routine and complex inquiries.
- Includes handling customer and employee issues and ensuring issues are expedited as appropriate and in a professional manner.
- On behalf of manager, makes high level contacts of a complex and/or confidential nature both inside and outside of the company.
- Collaborates with SEIÆs and SEJ's Operations teams on best practices and leverages shared resources (Portal, training centers, SME’s, administrators, etc.).
- Stays up to date on best in class in Operations Excellence and cross-cultural communication.
- Conducts analysis on Operations Excellence initiatives/programs to calculate effectiveness and ROI.
- Supports development and administration of Licensee/Master Franchisee Satisfaction Surveys.
- Prepares agendas for and attends a variety of meetings to record minutes and assist with presentations when necessary. Prepares and distributes meeting minutes and action items for follow-up.
- Coordinates and provides technical support equipment used for conference calls, weekly communications meetings, videoconferences.
- Performs as site coordinator for office moves, LAN, telephone system, computer equipment, fax and copier machines. Coordinates ordering and implementation of new office equipment.
- Research costs and makes recommendations on purchases, and provides technical support and training on the equipment. Works under general guidelines by manager however exercises discretion and judgment in accomplishing these tasks.
- Prepares expense reports for manager; reviews expense reports submitted by manager’s staff and track expenses.
Qualifications
- Education: High School/GED
- Experience:7- 10 Prior Admin Experience
- Expert working knowledge of Excel, MS Office, and PowerPoint.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Strong ability to multi-task and work effectively cross-functionally.
