Our company is looking for an experienced, detail-oriented Event Coordinator to manage a diverse portfolio of events including company participation in multiple annual (3rd party) trade shows, periodic staff meetings and assisting with our Plexus Performance Groups program.
The Event Coordinator will be responsible for the planning and remote execution of on-site meetings in various cities throughout the country. They will also be responsible for coordinating company participation in multiple 3rd party trade shows that occur annually. Additionally, they will be responsible for assisting the Plexus Coordinator in planning and executing 10 small to medium sized meetings annually.
This position is part-time, approximately 30 hours a week. We offer paid time off (PTO), LTD, EAP, 401k, life insurance and flexible work times during usual business hours with the ability to work from home if needed.
Job Responsibilities:
- Research meeting locations and request hotel bids
- Negotiate hotel contracts to our specific needs
- In cooperation with hotel properties: create BEOs, room layouts, A/V plans and meeting logistics
- Research dinner options in the meeting location city and create cost estimates
- Make reservations for all off-site meals and coordinate head counts & logistics
- Research, book and coordinate chartered group travel
- Collaborate with meeting facilitators on meeting specifics
- Create and manage various meeting management documents including travel schedules, meeting history and PowerPoint presentations
- Communicate with staff on logistics
- Create and manage rooming lists and staff travel schedules
- Prepare all meeting/event documents, supplies & prepare for shipment
- Coordinate staff travel for staff meetings, trade shows and industry events
- Register staff attendance for trade shows and industry events
- Represent BIG with the utmost professionalism and integrity
- Any other duties as assigned
Preferred Qualification & Skills:
- 4+ years event management experience
- Bachelor’s Degree in Hospitality Management or a related field
- Proven track record of excellent organization skills and creative problem solving
- Self-starter who requires little to no supervision to meet goals
- Excellent time management and communication skills
- Skilled in managing multiple priorities at once and able to work in a fast-paced environment
- Able to collaborate with co-workers remotely & in different time zones
- Able to lift at least 20 pounds for shipments
- Valid driver’s license
