Aire Serv is a leader in Industrial and Commercial Mechanical, Boiler, and HVAC service and repair projects in the Hampton Roads area. Our projects are often in environments, such as:
Hospitals, Chemical, Process/Utility, Manufacturing, Distribution, Food & Beverage.

The Estimator at Aire Serv reports to the Senior Estimator and has the primary responsibility of performing take-offs and building a material-quantities-labor estimate in their assigned field (i.e. boiler, HVAC, mechanical, etc.). Their work is the foundation on which each projects financial performance is built, so it is imperative their work product has clarity and a high degree of accuracy.
Bid Calendar
It is the Estimators responsibility to notify the Senior Estimator when an invitation to bid is received and to work collaboratively with the Senior Estimator in creating and maintaining the bid calendar. The bid calendar details any estimating resources (personnel/hours) allocated to each bid or project opportunity and clearly communicates deadlines so they are not missed due to poor planning, communication, or resource management.
Conceptual Estimating
Typically, Aire Serv's bid packages consist of vendor quotes and breakdowns for general material, labor, and subcontractor estimates. The Estimator will generate material/volume counts and quantities, and secure adequate subcontractor pricing coverage for all pertinent trades.
Many jobs will have no drawings and no direction from the customer. It is up to our estimating Team to work up solutions suitable to make the necessary repairs or modifications.
The estimate will be organized such that scope items will be organized into a standard cost code structure.
Upon receipt of the bid package, the Estimator will collaborate with the Senior Estimator to ensure all prequalification documents, RFI deadlines, etc. are reviewed and completed/met.
Estimators must be knowledgeable of the projects drawings, specifications, materials, organization standards, parts, and pricing, and are responsible to identify potential value engineering opportunities during the bid process.
It is the Estimators responsibility to create a new Job Estimate folder in Service Titan as well as in the cloud-based storage system. All proposals are organized inside the Job Estimate folder complete with all specs, drawings, and pertinent information, with pre-selected vendors/subcontractors and their latest proposals clearly identified.
Prior to bid review, the estimating checklist should be completed. The estimator should coordinate with the senior estimator to schedule the bid review.
When an addendum is received, the estimator receiving the addendum should forward it to the team member who is lead on the estimate. The lead should download the addendum in its entirety and save it in the appropriate folder.
The Estimator is responsible for archiving previous estimates into the most current estimate folder.
The Estimator is also responsible for sending all relevant project information to the manager of the CRM for data entry.
Project Set Up
Upon receiving notice of award for a job, the Estimator moves the Job Estimate folder into the Final Contracts and Job Start-Up Information folder and meets with the Senior Estimator, Project Manager, Superintendent, Quality Control Manager, and Safety Manager to review the key factors of the project in a hand-off Meeting.
Project Close Out
Similarly, the Estimator meets with the President, Chief Operations Officer, Senior Estimator, Senior Project Management, Superintendents, Quality Control Manager, and Safety Manager for a close-out meeting at the end of a project to evaluate how the project went and discuss what lessons were learned on the job.
Additionally, the Estimator is to maintain a historical cost record for use in pricing future work.
