What you will be doing:
- Support all members of the Medical Test Prep editorial team. Coordinate inflow and management of data from all members of the editorial team for the purposes of tracking signings, transmittals, and publications.
- Support editors in achieving their acquisition goals by assisting with author/editor correspondence, sending and tracking contracts, communicating with reviewers, and helping with research as needed.
- Manage contributor databases, author/contributor contracting and payments, online plant cost tracking spreadsheets, medical and professional Pub Plan tracking documents, and all activities that are essential to supporting the product list.
- Become adept in all internal payment/contract/data systems required to perform basic duties.
- Process and submit vendor/contractor payments in a timely manner.
- Coordinate and schedule meetings as needed.
- Manage print product portfolio, continuously evaluating the product line to ensure products are meeting external market needs.
- Manage all author relationships and recruit new authors as needed.
- Routinely engage in market research to ensure all key opportunities are addressed. Facilitate and process all author, contributor, reviewer and vendor payments.
- Initiate the contract process once new projects are approved.
- Coordinate weekly Editorial Board meeting as requested.
- Ensure that author copies are sent upon publication.
- Maintain a complete, accurate author/contributor database, consistently updating information as needed.
- Create and routinely maintain product files.
- Work with other assistants to fill in as needed.
- Create and present compelling product proposals that clearly articulate the market/business need.
- Ensure that assigned print products meet all internal hurdles and requirements.
We're looking for someone with:
- Bachelor’s degree required (in a related discipline)
- General knowledge of the publishing process/industry.
- Administrative support experience in a fast-paced, high-volume environment.
- Ability to communicate effectively and work across multiple teams.
- Proven track record of successfully and proactively managing multiple projects simultaneously.
- Proficiency in Microsoft Office
- Working knowledge of document sharing/management programs (Dropbox, Google Docs, Box, etc.)
- Working knowledge of social media.
- General aptitude to learn new software programs.
The pay range for this position is between $45,000-$58,000 annually; however, base pay offered may vary depending on job-related knowledge, skills, experience and location. An annual bonus plan may be provided as part of the compensation package, in addition to a full range of medical and/or other benefits, depending on the position offered.
