Pay: $21.87 per hour
Schedule: Monday - Friday from 8:30 a.m.- 5 p.m.
SBCS Corporation operates a 24/7 year-round confidential, emergency Shelter Program for victims of Domestic Violence and their children. Services include 24-hour emergency shelter, food, transportation, 24-hour crisis hotline, psychological support and peer counseling, referrals to community resources, and community education and outreach.
RESPONSIBILITIES:
The Program Assistant, under the supervision of the Program Coordinator & Program Director is responsible for contributing to the successful overall management of the program by performing a wide variety of administrative support and secretarial activities. Services will be in keeping with agency goals, objectives, mission, and style and provided within a team framework.
DUTIES:
- Work closely with the Program Coordinator in running daily reports, completing ongoing assignments, as well as scheduling appointments.
- Assist with data collection and entry.
- Administrative duties including: answering phones, sending/receiving faxes, making copies, and maintaining confidential client files.
- Researching/compiling information; coordinating activities between departments and/or outside services.
- Submit shopping order for office, pantry, program, kitchen items, and hygiene/client supplies.
- Maintain inventory of program supplies.
- Responsible for front desk oversight during business hours.
- Coordinate repairs and maintenance of office equipment.
- Maintain confidentiality of all work including client participation, files, and facility location.
- Maintain room reservation log for therapy sessions.
- Maintain effective communication with student interns and immediate team members.
- Prepare collateral outreach items for various events including presentations, community outreach, or general dissemination.
- Record and turn in minutes from any indicated meetings and submit for approval.
- Ensure correspondence and documents are accurate by applying the rules of English grammar and punctuation in preparation and final review of materials.
- Responsible for special projects relating to department functions.
- Responsible for detailed assignments, including statistical tracking for individual programs.
- Interact with clients for information gathering and greeting upon entry to facility.
- Transport and/or pickup program documents as needed from other SBCS locations.
- Other duties as assigned by the Program Coordinator and/or Program Director.
Requirements
- High School diploma or equivalent required. Some college classes preferred.
- Must be computer literate and able to type 50 wpm.
- Minimum of one year of administrative experience preferred.
- Ability to work with a diverse population, possess cultural sensitivity, and maintain appropriate boundaries with clients.
- Position requires ascending or descending stairs using feet and legs.
- Must work well under pressure and meet deadlines.
- Excellent communication skills.
- Must be highly organized and able to multi-task.
- Bilingual - English and Spanish required. (Must be able to read and write.)
- Ability to initiate, organize and implement tasks.
- Ability to handle case sensitive information.
- Work effectively in a team setting with diverse personalities.
Condition of Employment
- Employment may be conditioned upon satisfactory completion of certain background clearances which may include a Department of Justice criminal background check requiring my fingerprints (Live Scan), screening through the National Sex Offender Public Website, drug test, tuberculosis (TB) test, and such additional clearances as may be required under the program.
- Candidates/employees who have received a conditional offer of employment will be required to undergo testing for controlled substances, in accordance with the County of San Diego's drug and alcohol policy and the federal Controlled Substances Act.
- Candidate is required to have reliable transportation; therefore the candidate must successfully complete a motor vehicle history check. Candidate must also possess and maintain a current valid California driver's license and valid auto insurance policy.
