This District Events Manager will plan, coordinate, and oversee special events logistics within pre-determined budget parameters. This position manages rental contracts with external entities, coordinates events per client needs and district guidelines, and coordinates district or college-wide internal special events. The District Events Manager also helps the College Foundation manage fundraising events, district ticketing operations, working and establishing relationships with vendors, and working with faculty to maximize the usage and success of spaces such as the Science Dome and district theatres. This position reports to the Divisional Operations Specialist.

The District Event Manager will be responsible for the following but not limited to:
District Event Management
- Develop, plan, and oversee various activities, institutional events, and educational programs/events.
- Manage rental contracts with external entities (third-party rentals).
- Ensure events align and support the college's mission, vision, and values in creating and supporting an inclusive environment.
- Assist the Chancellor's and President's offices in executing selected special events.
- Coordinate with Student Life to support student activities.
- Direct, manage, and oversee a broad range of contracted event operations.
- Develop and recommend new methods of engagement through events.
- Work with Contracts and Finance Departments to develop contract templates, recommend rental pricing structures for contracted events, facilitate the contract approval process, and coordinate business procedures, required ticket sales reports, tax compliance laws, and annual budget reporting.
- Collaborate with staff from Facilities, Campus Safety, Marketing and Communications, Food Service, IT/technicians, Custodial, and other departments to ensure college venues are event-ready.
- Manage a district-wide ticketing system; staff and/or coordinate staffing at box office functions for events using the ticketing system.
- Develop event usage and management procedures with district stakeholders.
- Assist district/college departments charged with community outreach (i.e., Community Education and Outreach departments) in developing and managing outreach events that occur on campus.
- Create and maintain essential event records and files.
- Initiate and coordinate the promotion of events, working with the internal or external client (when appropriate), Marketing and Communications department, and through the ticketing software.
- Create a sense of welcome and excellence in customer service to encourage repeat clients and build Pierce College's reputation.
- Support the Foundation in the creation and help secure corporate sponsorship packages.
- Capture attendee information for strategic marketing, district notifications, alumni engagement, and future programming.
- Partner with Marketing and Communications to define and promote the Pierce College brand through event publications and messaging.
- Update and enhance internal and external online event support information.
- Develop and oversee the implementation of processes and procedures to streamline classroom scheduling and equipment needs and requests.
- Supervise and manage one full-time position and multiple part-time student employees.
- Set priorities, assign work, analyze various problems and assignments with discretion, develop procedures, and interpret College and departmental policies.
- Provide leadership for various district committees, workgroups, and teams as needed.
- Develop staff through mentoring, providing career coaching, and motivation.
- Review and verify the accuracy of the information in documents such as travel vouchers and timesheets.
- Ensure staff and volunteers are adequately trained and prepared for events, including safety procedures.
- Promote work study/ambassador opportunities through Student Life, theater arts courses, and community volunteers.
- Involve staff across the district in a continuous improvement evaluation process related to event management; conduct post-event evaluations and make recommendations for improvements for future events.
- Train staff to execute events so that attendees have a consistently positive experience.
- Create front of house/hospitality handbook or curriculum for student-based learning.
Qualifications
Education Required
Associate's Degree in Business, Project Management, Communications, and/or Program Management.Experience Required
- Minimum of three (3) years leading/coordinating successful events within budget.
- Experience with event planning, coordination, and evaluation.
- Experience recruiting, maintaining, and motivating volunteers.
- Experience with ticketing systems.
- Experience utilizing project management and organizational skills.
- Experience with projects requiring a high level of attention to detail.
- Experienced at developing and managing budgets, timelines, and checklists.
- Experience leading people and teams without having direct supervisory responsibility.

- Must be willing and able to work a flexible schedule, covering day, evening, and weekend events as needed.
- Must be able to travel between the Puyallup and Fort Steilacoom colleges when needed.
- Must have a valid driver's license and own or have access to reliable transportation.
- Ability to communicate effectively and collaboratively with individuals and internal and external clients.
- Strong leadership skills, with the ability to motivate and lead staff and volunteers.

Terms of Employment
This is a full-time (40 hours per week) administrative-exempt position with Pierce College District. The primary work location will be the Pierce College Fort Steilacoom campus, requiring travel to other campuses or sites. Work hours are between 8:00 a.m. and 5:00 p.m., Monday through Friday. This position may be subject to reassignment between campuses or sites. This position requires regular and consistent attendance. This position is eligible for up to two (2) days of remote work; scheduled event attendance takes precedence over scheduled telework.
Salary & Benefits
The salary range for this position is $72,154.00 to $89,272.00 annually. The salary will be determined based on the candidate's qualifications and related experience. Typically, new hires start at $75,161.00 per year, based on Pierce College's Administrative/Exempt Compensation Plan. Your paycheck is just part of the total compensation package. Physical Work Environment
This position works indoors in an office environment and in indoor and outdoor event venues. Scheduled hours may vary to include occasional. evenings, weekends, Frequent travel between campuses and sites
Depending on the workload around events and the other deadlines, some long days or weeks can be countered by slower times of the year. Event setup and tear-down can mean standing for long periods. There may be long hours of phone calls with one-to-one communications and public speaking.
