Dispatch/Office Assistant - Campus Safety
Job Summary
The Office of Campus Safety at Munson is accepting applications for a part-time, 20 hour per week position as Dispatch/Office Assistant. The Dispatch Office Assistant performs front office dispatch responsibilities and maintains office files related to Campus Safety functions.
Essential Job Functions
Dispatch
Promptly receive emergency and non-emergency calls requesting Campus Safety assistance; determine nature, location and priority of the call and dispatch assignments and information to various field units concerning incidents and activities accordingly.
Coordinate, monitor and engage in radio communications, landline telephones between officers, other personnel and off-campus agencies (fire, police, EMS, facilities, institute staff).
Maintain communications with patrol officers, Campus Safety-Museum and Maintenance. Track locations, conditions of situations and respond to requests for assistance.
Document and report incidents, disturbances, complaints, alarms and any irregularities observed in shift logs or other forms as required.
Prepare and maintain accurate records and logs of all radio transmissions, telephone calls and other inquiries or incidents; post appropriate entries in logs and records reflecting calls received and dispatched. Record building security checks as well as other shift activity. Prepare corresponding reports, inter-office special reports and other confidential information as necessary.
Assist with training and/or have oversight of officers and student employees when applicable.
Issue and process parking permits, parking tickets and appeals and other data entry as needed.
Make sure all appropriate alarms and locks are engaged via the Access Control platform.
Exterior door magnetic locks, Intrusion/motion alarms.
Conduct proper radio checks every HOUR, starting at 0830.
Continuously check ALL cameras throughout entire shift.
When applicable, mark down snow contractor’s location(s).
Snow plowing campus lots
Salting campus lots
Distribute/retrieve keys/badges and sign out log(s) to maintenance/contractors.
Ensure a Campus patrol is accompanying contractors in dorms.
Complete Key and Equipment Inventory within the first hour of the shift. Report any discrepancies to the shift supervisor immediately.
Lost and Found/contraband items must be logged, tagged and placed in correct unit(s).
Lost and found items are beige tags-placed in filing cabinet in coinciding bin number/letter in radio room.
Contraband items are red tags-File numbers will match with the coinciding incident report number(s)-placed in cabinet located in the basement.
Brief oncoming staff of ALL relevant information.
Perform other duties as assigned.
Office Assistant Duties
Campus Safety Dispatcher Duties - DAILY
Filing - DAILY
All documents should have a place to be filed.
Maintain Daily Crime and Fire Logs - Write in any criminal incident and Fire Report by 0900 - DAILY
Maintain Parking stickers, logs and tickets - DAILY
Ensure adequate supplies are available.
Ensure all documentation is complete, accurate and properly filed.
Remove and file old documents.
Post all Institute weekly schedules in the Dispatch area and radio room as necessary. Disseminate schedule information to staff and shift supervisors: e-mails, calendars and verbal requests-put documents in the schedule folder. Add notes to white bulletins-DAILY AND WEEKLY
Purge all old schedules, e-mails or postings.
Check schedules to make sure access rights are granted to student gallery - 14 Cottage-WEEKLY
Ordering
Submit requests for office and First Aid Supplies as needed.
Submit requests for Badge supplies including holders, lanyards, printer ribbons and cards.
Access Control Database maintenance and scheduling.
Back-ups - WEEKLY
Semester additions and End-of-semester changes.
Schedules for unlock and locking based on school schedule.
Emergency Police Badges scan - WEEKLY
Badge design and creation.
Ensure Sign-in sheets are printed - WEEKLY
Coordinate repairs of equipment.
Maintain instructions and operating manuals.
Add new manuals, and file the old ones.
Ensure all rosters, phone lists, call-in sheets are up to date and accurate - MONTHLY or as necessary
New Hire processing.
Complete reference checks as directed by the CSD or CSAD
Lost and Found
Ensure tags, storage method/location and database is accurate - WEEKLY
Dispose of items as necessary after 90 days.
Perform other duties as assigned.
Knowledge, Skills, and Abilities
Requires high school diploma and 1 to 3 years of job related experience
Desired: College coursework in criminal justice or related human services discipline, specialized training in security and safety and/or 2 years of experience in a college or institutional setting or police or peace officer experience with certified academy training.
Compensation
$17.00 to $19.00 per hour for a 20 hour/week workweek.
