General Statement of Duties:

Provide support to various areas of the Facilities department by performing moderately difficult clerical work requiring an understanding of rules, procedures and policies. Requires considerable judgement to work independently toward general results. Must be able to communicate effectively, orally and in writing.

ESSENTIAL JOB FUNCTIONS:

The following is a summary of the essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below and essential functions may change from time to time.

  • Promote and adhere to all elements of the Agency's Core Values and demonstrate knowledge and commitment to the Arc's Mission.
  • Ensure protection from abuse, neglect, mistreatment and exploitation in regard to the health, safety, comfort, and well-being for the people we support by adhering to all related policies.
  • Assist with tracking bus attendance.
  • Provide assistance for the coordination of all agency vehicle needs, including but not limited to scheduled maintenance, inspections, registration renewals, etc.
  • Help to maintain vehicle repair logs.
  • Assist with resolving transport issues and route planning.
  • Act as primary Bus Dispatcher.
  • Assist the Facilities Coordinator with daily review and approval of driver timesheets.
  • Provide support with the 5310 grant.
  • Order housekeeping supplies.
  • Assist with yellow slips.
  • Help support the work order system
  • Provide administrative support to the Director of Facilities Management.
  • Become familiar with OSHA regulations and procedures.
  • Develop a thorough knowledge of ADA requirements and Code of Rules and Regulations of the State of New York.
  • Promote and adhere to all elements of the Agency's Corporate Compliance and HIPAA policies.
  • Maintain and promote confidentiality in accordance with Agency policy.
  • Comply with all aspects of the Agency's Safety Policy.
  • Serve on Agency committees as assigned.
  • Attend meetings as dictated by your job responsibilities and/or as assigned.
  • Attend and complete all mandatory training.
  • Adhere to scheduled hours and record hours daily using Deputy timekeeping system.

Required Knowledge, Skills and Abilities

  • Ability to work independently and function as a team member with a wide range of people.
  • Ability to work flexible schedules which may include evenings and weekends.
  • Ability to communicate effectively.
  • Good written and oral communication skills.
  • Good interpersonal skills.
  • Good safety practices.
  • Normal visual and hearing acuity.
  • Adequate manual dexterity.
  • Ability to stand or sit for long periods of time.

Education and Experience

Any combination equivalent to education and experience that provides the required knowledge and skills.

Typical qualifications would be equivalent to:

  • High school diploma and specialized training or experience with computer software applications and data processing.
  • 1 year experience in Business Office environment.
