Job Purpose: A Distribution Dispatcher is responsible for the logistical processing of customer's delivery orders, by providing pick-up, and delivery of freight that proves beneficial to customers. They will ensure equipment and driver availability, using them to the maximum efficiency by monitoring freight movement, communication with drivers, and all other aspects of dispatching.
Essential Duties and Responsibilities
Planning & Dispatching:
- Set appointments for confirmed work orders.
- Plan, route, and schedule for local/regional distribution using the current TMS. Maximize truckload efficiency.
- Dispatch drivers daily for all booked/tendered loads.
- Check in with drivers at each stop, staying on top of the on-time goal and plan for the day.
- Ensure the drivers have properly uploaded all paperwork, invoices, and OSD to help with our customer service and administrative processes.
- Communicate with customers proactively when we will have a known delivery delay or service failure.
- Complete an accurate load and offload manifest and provide to IECS by 2 PM, daily.
- Send plan summary to SHOP, TRANS TEAM and IECS MGR, daily.
- Assist with filling in loads by utilizing the DAT Load board for broker loads.
- Work with our customer on standard rates and deliveries on basic loads utilizing our rate sheets.
- Maintain accurate equipment status daily for accuracy and shop knowledge.
Managing Drivers:
- Complete payroll sheet, daily.
- Handle driver needs that occur after business hours. Log reasons for calls, nightly.
- Support safety requirements and lead the local fleet to adhere to DVIR and HOS standards.
- Hold drivers accountable to following all Driver Standards, as defined by company requirements.
- Dispatch drivers so that mandatory attendance at the monthly Safety Meetings is met.
- Hire, train, lead, and mentor any direct report employees according to company policies, core values, and vision. Do in partnership with HR and Transportation Supervisor.
Managing Assets:
- Keep track of company trucks via online TMS for all trucks you have under dispatch.
- Track and review refrigerated unit temperatures at the beginning of, and throughout, the day.
External and Internal Relations:
- Attend one of the monthly Safety Meetings per quarter.
- Communicate proactively with customers and vendors via email and phone calls.
- Communicate proactively with internal staff and management, including IECS.
Qualifications
- Education: HS Diploma or equivalent; Bachelor’s degree a plus
- Experience: Minimum 2 years dispatching experience
- Communication: Must be able to read, write and speak English fluently; SPANISH speaking is a plus. Proven ability to communicate effectively and positively with customers, vendors and employees.
- Computer: Excellent computer skills; Microsoft Office & related spreadsheet and database software

- Must be highly organized, able to multi-task and work in a fast-paced environment with minimal supervision.

- Ability to clearly identify the customer's current and future needs and present transportation solutions to them.
Working conditions:
This role will be working in a temperature-controlled industrial office environment. Our facility also includes a cold storage warehouse where on minimal occasions you may be subject to temperatures that reach -10 degrees.
Physical requirements:
- Must be able to lift 15-20lbs.
- Prolonged periods sitting at a desk and working on a computer.
Direct reports:
This position manages drivers, as assigned.
