Description
The Director, Operations manages four key areas for the agency: Facilities, Safety, Information Technology (IT), and Kitchen Operations. In all areas, the Director will provide for the administration of policies and procedures and continuous process improvement. This position will collaborate heavily with management across the agency. Facilities oversight includes the ongoing maintenance of all agency owned properties and master leased units, management of all capital improvement projects, management of our CMMS, including preventive maintenance schedules, prioritization of work orders, and the oversight, repair, and preventive maintenance of all agency vehicles. The Director is responsible for all documentation related to facilities operations and coordinates with the Custodian of Records to ensure proper file maintenance. The Director, Operations is responsible for CCDSR Safety Plans, coordination of the Safety Steering Committee and other agency safety committees, continuous risk management, and adherence to all CalOsha regulations. IT management includes all IT infrastructure in partnership with our contracted MSP vendor. Kitchen Operations includes oversight of two commercial kitchens, the management of food safety compliance, and efficiencies around supply ordering, storage, and delivery of food to program participants. The Director, Operations will develop a future initiative to implement an in-house janitorial service.

Essential Functions
  1. Provide leadership and management to staff in Facilities, IT, and Kitchen Operations.
  2. Provide oversight of all CCDSR facilities' mechanical, electrical, and plumbing (MEPs) systems ensuring safe and optimal operations agency-wide.
  3. Maintain the Agency's CMMS (Limble) and leverage the use of the system to ensure efficiency across the agency.
  4. Evaluate and approve work orders in alignment with agency budget and operational needs.
  5. Serve as project manager for all capital improvements.
  6. Manage the agency's vehicles, including maintenance, check out/in process, authorized drivers in coordination with Human Resources, and availability calendar.
  7. Assure compliance with local, state, and federal agency requirements and fire life safety codes.
  8. Manage purchasing, receiving, and inventory control for Facilities, IT, and Kitchen Operations.
  9. Create an environment of risk awareness and promote risk reduction throughout the agency.
  10. Evaluate potential risks and exposures and develop processes to effectively minimize those Develop and implement procedures to monitor workplace activities to ensure compliance.
  11. Implement and maintain a One Agency repository for documentation control for all Facility, Safety, IT, and Kitchen Operations related items in coordination with the Agency's assigned Custodian of Records. Manage preventative maintenance of all agency facilities, including master lease units, in coordination with program management.
  12. Manage in coordination with the Director, Housing Services or his/her designee, Permanent Supportive Housing (PSH) maintenance, repair, and turnover of Catholic Charities' master lease units.
  13. Manage the essential functions of kitchen operations; food safety compliance, food service, quality control, purchasing, inventory and cost control, cleanliness standards, and training.
  14. Manage and oversee IT infrastructure and systems, platforms, and performance.
  15. Participate and contribute to agency's budget development process in the areas of Facilities, IT, Kitchen Operations, and Safety.
  16. Collaborate with programs in grant assessment, and data tracking for grant compliance in the areas of Facilities, IT, Kitchen Operations, and safety.
  17. Supervise staff positions, in coordination with site management, including hiring, performance management, and disciplinary issues.
  18. Provide continuous training for agency staff up to and including adherence to Cal/OSHA requirements.
  19. Manage the agency's safety plans and programs in coordination with the Chief Administrative Officer, including but not limited to, IIPP, MSD, Site Safety Plan, HIPPA, Safe Spaces, and evacuation plans.
  20. Partner with Quality Improvement to ensure adherence to agency policies and procedures and to engage in continuous improvement.
  21. Oversee Security and Access Control for all agency facilities.
  22. Support the Mission, Vision, and Values of Catholic Charities in the performance of all essential job functions and responsibilities.

Other Responsibilities
  1. Some travel within Sonoma, Lake, Mendocino, and Napa counties as needed.
  2. Work with Diocese of Santa Rosa and local parishes as appropriate and requested.
  3. Perform other related duties as assigned.

Education, Experience, and Skills Required
  1. Bachelor's Degree in a related field and minimum of seven years of supervision experience or 12 or more years of relevant industry and supervision experience, required. An additional four or more years of supervision experience and relevant industry experience may be substituted for a degree.
  2. Demonstrated working knowledge of MEPs for a commercial building.
  3. Demonstrated working knowledge for operations of a web-based security systems.
  4. Knowledge of elevator operations, preferred.
  5. Successful experience in the oversight of multiple sites, preferred.
  6. Proficient knowledge of Cal/OSHA codes and requirements.
  7. Proficient knowledge of EHS best practices.
  8. Manager level Food Safety working knowledge, preferred. Certification will be required post hire.
  9. Working knowledge of commercial kitchen operations and appliances.
  10. Highly organized with the ability to coordinate many tasks.
  11. Ability to collaborate effectively and work as part of a team.
  12. Proficient knowledge and application of Microsoft 365 suite; proficiencies with databases, and internet-based tools such as webmail, Google calendar, Webtime, Zoom, and Teams.
  13. Passion and enthusiasm for the mission of Catholic Charities and its clients.
  14. Valid driver license and at least state required minimum of automobile insurance, clear DMV driving record and ability to provide own transportation. Must be willing and able to travel between agency sites.
  15. Must pass DOJ background clearance (fingerprinting) in accordance with the Diocese of Santa Rosa's policies prior to start of employment.
