Departmental Overview
The Center for Information Technology Research in the Interest of Society and the Banatao Institute (CITRIS) leverage the research strengths of the University of California campuses at Berkeley, Davis, Merced and Santa Cruz, and operate within the greater ecosystem of the University and the innovative and entrepreneurial spirit of Silicon Valley. We strengthen bridges between world-class laboratory research, state and national policymakers, and companies and startups creating new applications and reshaping entire industries. CITRIS and the Banatao Institute facilitate interdisciplinary work among hundreds of University of California faculty members, students, corporate partners and international institutions. Together with these public and private partners, we are shaping the future of technology in ways that cross traditional boundaries.
This position involves the efficient planning and organizing of single campus (UCB) or multi-campus CITRIS event activities. Manages highly complex events, including events, or high visibility events involving influential or important friends or members of the CITRIS community. The attendees vary and may include high-level industry executives, government (often foreign) and agency representatives, as well as academic faculty and administrative executives (from various institutions), donors and the general public.
The scope of this position spans the four campuses of CITRIS: UC Berkeley, UC Davis, UC Merced, UC Santa Cruz, and the UC Davis Medical Center, many departments and schools within those campuses, as well as the industrial partners who support CITRIS financially and intellectually. The Director of Events will be required to serve as a lead directing the events across the campuses, and will interact strongly with the staff and faculty across these campuses and supervise the staff and coordination of the conferences, workshops and symposia held there.

Responsibilities
Oversees short-term and long-range event planning for CITRIS. Develops, updates, and maintains event planning resources and templates. Creates and maintains a calendar of Events. Supports planning and research for new and regular events, which may include: research symposia, community-building events, student programs, donor outreach, multi campus retreats, initiative events, etc. Conducts research regarding tools and resources that CITRIS can use for future conferences, symposiums, and events.
Provides comprehensive event planning for CITRIS events, and provides event support for collaborative events with campus, multi-campus and other partners. Plans, organizes, and identifies potential event locations and vendors. For on-campus events, secures necessary permits and certificates of insurance in accordance with UC policy. Manages contracts for venues, catering, design/marketing, audio/visual needs, registration, and other event logistics. Determines and coordinates staffing needs, securing the cooperation of staff and/or student volunteers.
Consults with internal clients on all details regarding events. Develops, implements, and maintains detailed record of event budgets, registration, parking needs, marketing/promo materials, pack list, etc. Partners with others such as the communications team to implement communications/marketing and planning timelines in collaboration with colleagues. Additional partners include the building team, which handles room management and IT/audio visual support. Tracks progress of Events, conferring with stakeholders regarding event goals and objectives.
Supervises: CITRIS Events Specialist 2; trains, leads, directs, mentors, evaluates, and provides feedback to support staff member in their career development.

Required Qualifications
Bachelor's degree in related area and / or equivalent experience / training.
Advanced knowledge of concepts, principles and best practices of event planning and public relations, including design, organization and production of complex events. Knowledge and skills to apply event management principles, practices and techniques in support of effective event management, particularly high visibility, high impact, high risk events.
Advanced knowledge of the campus, including its vision, mission, goals, objectives, achievements and infrastructure.
Advanced long-range planning, project management and organizational skills.
Advanced interpersonal communication skills to build and maintain relationships at all organizational levels and with a variety of publics.
Highly developed political acumen skills and social perceptiveness to successfully meet the needs of guests and ensure guest satisfaction for fundraising events. Skill in effectively providing donor stewardship.
Advanced judgment, decision-making and problem recognition / avoidance / resolution skills.
Proven success in exercising sound independent judgment. Ability to maintain confidentiality, and act with tact and discretion with sensitive information.
Advanced skill in meeting goals and objectives within budget and time constraints.
Advanced skills in guiding and mentoring less experienced staff.
Proven ability to view tasks from varying perspectives. Ability to integrate day-to-day operational knowledge and recommend effective short and long-term policies and procedures.
Proven skills to apply principles of personnel management to plan, organize, motivate staff and volunteers.
Proven experience in providing guidance and advice in all aspects of program planning, implementation and evaluation.
Experience developing accurate program budgets; ability to forecast expenses and income.
Proven experience and knowledge in effective contract negotiation and strategies.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $85,800 to $110,000 annually. This is a 100% FTE career position eligible for full benefits.
