Job Summary


Under the guidance and direction of the Chief Financial Officer this position is responsible for assuring Vita Nova's compliance with all grants (federal, state, local and private) requirements, licensing and accreditation standards, federal mandates, state requirements and organizational policies. The incumbent will be responsible for developing strategies, polices and processes to ensure Vita Nova is complying and meeting all grant deliverables, including spend down and timely reimbursements. The incumbent will also implement Quality Assurance policies and initiatives to enhance services, enrich the lives of the youth served, and ensure a high level of quality supervision and management throughout all areas. This position will assist in the development and submission of required reports and participate in meetings as assigned.


Key Responsibilities/Essential Duties of Position:


An individual must be able to perform each essential duty listed below at a high performing level.

  • Oversee approved funding contracts to ensure that documentation and reporting requirements are met prior to due dates
  • Prepare and/or review information and reports for internal and external stakeholders
  • Develop, modify and implement policies/procedures/systems in accordance with government regulations, organizational needs and objectives
  • Provide support for requests from CFO/COO/Grant Writer for both grant application and regular reporting
  • Assess programs for compliance, and work with COO and Program Directors to implement corrective actions if necessary
  • Act as a resource for questions and clarifications of contracts, agreements and funder requirements
  • Assist in preparing programs for monitoring and external auditing activities
  • Assess billing activities (to include assuring that appropriate documentation of services rendered is maintained)
  • Audit records of persons served to assure compliance with federal, State, accrediting authorities, and agency regulations and requirements
  • Audit evidence of active services provided and assists in the development of procedures to assure adequate documentation is recorded and maintained
  • Review agency policies and program operations to identify areas in need of streamlining and or process improvement
  • Collect and incorporate feedback from employees, youth served, and other stakeholders in processes to improve service delivery
  • Facilitate regular meetings with program directors/staff to ensure proper understanding of all areas of grant agreements
  • Attend fiduciary meetings and workgroups as necessary
  • Develop and present monthly compliance and Quality Assurance report to senior management and the Board
  • Create and conduct annual review and update of Grant Management policies to ensure compliance with current regulations
  • Annually update registration in System of Award Management (SAM), and ELOCCS and SAMIS to manage grant funds awarded
  • Act as liaison with accrediting organizations
  • Perform other duties as assigned.

Job Qualifications, Requirements & Skills

  • Bachelor's degree in business administration, or a related field, Master's Degree preferred
  • Minimum of five years of related work experience, preferably in a non-profit organization
  • Strong computer and Microsoft Office skills
  • Ability to complete tasks accurately and timely with minimal supervision
  • Strong organizational, planning, communication and decision making skills
  • Active listening, problem solving and critical thinking
  • Social perceptiveness
  • Must have a valid driver's license & reliable transportation
  • Successful applicant must be able to pass a Level 2 Background check
