The Administrative Assistant provides high-level administrative support and clerical services to the Development Department. The ideal candidate will have a minimum of four years' experience in a Fundraising/Development department and have high standards of professionalism, efficiency, communication, discretion, and independent judgment. This position is based at Goodwill Southern California's Los Angeles Campus.
Essential Duties & Responsibilities
- Coordinates internal and external meetings for the Development Department including attendee invitations and RSVPs. Ensures that space is reserved, meals ordered, security notified, and meeting materials provided.
- Performs appropriate clerical duties related such as filing, typing, copying, scanning etc.
- Communicates with internal staff and external stakeholders in a professional and friendly manner. Elevates issues as appropriate.
- Provides administrative support for Development recognition, stewardship and fundraising events, including collateral for presentations.
- Assists department with presentations for Board of Directors, prospective funders and foundations.
- Enters data into the CRM, including input of gifts, donor recognition, events, gift agreements, and donor information.
- Assists with the production of all donor communications.
- Processes mail, expense reimbursements, daily bank deposits, monitors GSC credit card expenses & reconciles monthly statements.
- Follows up on donor requests/inquiries.
- Supports back-end administrative gift processing, tracking, acknowledgement and reporting systems in CRM.
- Coordinates meetings, conferences, and travel arrangements for department.
- Reviews and processes invoices, expense reimbursables, and purchase orders. Orders office supplies for the Development Department.
- Supports stewardship, outreach, and engagement, initiatives and events.
Education & Experience
- 4+ years of administrative experience in a Development/Fundraising environment required.
- High school diploma or general education degree (GED) required; bachelor's degree from four-year College or university preferred.
- Experience with Salesforce required.
- Demonstrates ability to maintain confidentiality of sensitive and proprietary information and work with moderate supervision.
- Travel to local Development events required.
- Excellent time management skills with a proven ability to meet deadlines.
- Advanced knowledge proficiency of computer programs in a Windows environment, including Word, Excel, Power Point, Teams and E-mail required.
- Background, Drug Screen, LiveScan, Employment verification, Education verification and MVR required.
