Job Summary
Are you detail-oriented and ready to support essential county operations? We're hiring a Full-Time Deputy County Clerk to join our team!
In this role, you'll handle a variety of technical tasks vital to our county's functioning:
  • Assisting with elections administration.
  • Reviewing and issuing licenses and permits.
  • Maintaining County Board minutes archives.
  • Notarizing documents for the public.
  • Providing general department support, including accounting tasks.

Anticipated starting pay range is between $23.89/hr and $25.23/hr.
Primary Responsibilities
The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully to be qualified for the position. Other duties may be required and assigned.
  • Assists the County Clerk in conducting County, State and Federal elections; enters voter registration applications; tracks absentee ballots; publishes legal notices; files nomination papers and campaign forms; creates and distributes ballots; tabulates and releases election results.
  • Tracks felon, death and duplicate records in voter registration system.
  • Accepts marriage license and domestic partnership applications and issues licenses.
  • Maintains archives of County Board minutes, agendas and meeting materials.
  • Compiles information for the official proceedings book.
  • Posts materials to the County website.
  • Reviews and issues timber cutting permits.
  • Coordinates dog licenses with municipalities, tracks license fees due to the County, reconciles receipts with accounts due and prepares vouchers.
  • Compiles information for the Dunn County Directory of Public Officials.
  • Maintains tax certificate book in coordination with the Treasurer's Office.
  • Performs a variety of general accounting, bookkeeping and administrative support functions and activities; answers phones, greets visitors and assists customers at the counter; notarizes documents for the public; collects moneys paid to the County.

Minimum Qualifications
EDUCATION AND/OR EXPERIENCE REQUIREMENTS
  • Associate's Degree in Accounting, Business Management or other related field of study.
  • Requires a minimum of two (2) years previous bookkeeping, accounting or medical billing experience.

LICENSES, CERTIFICATIONS, AND OTHER REQUIREMENTS
  • Prior to hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
  • Notary certification within 6 months of hire.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES QUALIFICATIONS

  • Knowledge of related industry, organization and department policies, practices and procedures.
  • Knowledge of related industry, organization and departmental legal guides, recommendations, best practices, ordinances and laws.
  • Knowledge of related state statutes; thorough knowledge of standard office equipment and standard office and accounting software
  • Ability to make arithmetic computations using whole numbers, fractions and decimals.
  • Ability to compute rates, ratios and percentages; ability to understand and apply governmental accounting practices in maintenance of financial records.
  • Ability to analyze and interpret data; customer service skills.
  • Ability to follow Dunn County policies and procedures including those pertaining to confidentiality.
  • Ability to prioritize and organize job assignments.
  • Ability to manage time effectively, manage multiple projects, and complete work within established deadlines.
  • Ability to work the allocated hours of the position.

MINIMUM LANGUAGE SKILLS QUALIFICATIONS

  • Ability to communicate clearly and effectively with other staff members, supervisors, and community members in written and verbal form.

Workers' Compensation
Social Security: The County matches employees' social security compensation.
Vacation: Accrual is based on years of service with the County. For non-management positions, starting at 3.4 hours accruing each pay period (11 days per year), with the maximum accrual rate of 29 days per year. For management positions, starting at 3.08 hours accruing each pay period (10 days per year), with the maximum accrual rate of 29 days per year.
Sick: Accrual is fixed at 3.7 hours accruing each pay period (12 days per year).
Holidays: Ten paid holidays: New Year's Day, Martin Luther King Jr. Day, a Spring Holiday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, the Day after Thanksgiving, Christmas Eve Day, and Christmas Day.
