Deputy Clerk Treasurer

The Village of Hilbert is seeking applicants for the position of Deputy Clerk Treasurer. The new hire will work under the Clerk Treasurer.

The Village of Hilbert is a growing community located in East Central Wisconsin. We are centrally located to all of the metropolitan areas of Northeast Wisconsin and the Fox Valley. We operate under a 7-member Village Board with a Village President and 6 Village Trustees. We have a total of 5 full-time employees and several part-time and seasonal employees. The total budget for all funds is $3.3 million annually.

This is a skilled position performing under the direction of the Clerk Treasurer and performs a wide variety of accounting and clerical tasks including, but not limited to, utility billing, election duties, alcohol licensing, accounts payables, accounts receivables, bank deposits, building permits, and other duties necessary for the Clerk’s office. This employee uses independent judgement and may work alone.

General Duties:

· Public Service: the position’s primary function is to provide customer service to the taxpayers of the Village and the general public, including answering phones and greeting customers in the office

· Assists public with proper forms & procedures for building permits & licensing

· Assists with reservation & payment for use of village facilities

· Assists to generate and mail all special assessment letters in a timely manner

· Receives payments and prepares bank deposits

· Assists with preparation of any correspondence, reports, agenda, meeting minutes and notices as needed

· Assists with election process, absentee ballots, Statewide Voter Registration System (SVRS) maintenance

· Assist with tax payment collection

· Assist with preparation of water & sewer utility billings to be mailed/emailed monthly

· Performs all payroll functions including but not limited to: processing employee timesheets, preparing payroll checks, EFTPS submission, annual W-2’s & 1099’s
