EMPLOYEE POSITION DESCRIPTION
POSITION TITLE:Deputy Clerk
REPORTS: Clerk
SUPERVISES: Part-time temporary employees
QUALIFICATIONS: High School Diploma or GED equivalent; minimum of three years secretarial experience required with election experience preferred; advanced training in administrative course, proficiency in use of computers and office equipment.
DUTIES AND RESPONSIBILITIES:
- Acts as the City Clerk in the absence of the City Clerk.
- Transcribes and/or supervises transcription of minutes.
- Assists in the preparation of the City Council agendas and meetings.
- Responsible for document storage and retrieval of contracts, agreements, leases, bids, easements, City Code amendments and minutes of City Council and all Boards and Commissions.
- Assists with Council correspondence, certification of motions/resolutions, and publication and posting of ordinances/notices.
- Provides notary services and accepts documentation and processes US Passport applications.
- Maintains the City’s voter registration records and reports.
- Trains election officials and prepares for, conducts and supervises elections.
- Performs general clerical and secretarial responsibilities for the City Clerk, City Manager and members of the City Council.
- Orders and distributes necessary office supplies for use by the employees of the various City departments.
- Assists with preparation of department budget and is responsible for purchase orders and various accounts, such as postage, office supplies and election expenses.
- Handles public inquiries at the counter and on the telephone.
- Maintains cemetery records and is involved with sale of graves and columbarium niches.
- Assists the Clerk with processing of liquor licenses, dog licenses, solicitor and peddler licenses.
- Assists the Clerk with processing Freedom of Information (FOIA) requests.
